Position Summary

The Front Office Registrar is an essential member of the healthcare team, working collaboratively with Providers, Nurses, and Clinical Support staff to ensure efficient and timely patient flow. This role is responsible for completing pre-visit preparation, verifying demographic and insurance information, and supporting scheduling processes to promote excellent patient care and operational efficiency. 


Key Responsibilities

  • Greet and check in patients in a professional and courteous manner
  • Verify and update patient demographic and insurance information prior to appointments
  • Perform pre-registration and pre-visit preparation to support timely patient flow and prompt reimbursement
  • Schedule and reschedule patient appointments in accordance with provider availability and organizational guidelines
  • Monitor provider schedules to maintain productivity standards and maximize appointment utilization
  • Answer phones and respond to patient inquiries regarding appointments, insurance, and general office information
  • Collect and document required patient forms and information accurately
  • Maintain confidentiality of patient records in compliance with HIPAA and organizational policies
  • Collaborate with providers, nurses, and support staff to ensure seamless patient care coordination
  • Assist patients with questions and provide excellent customer service at all times
  • Maintain an organized and efficient front office environment
  • Perform other administrative duties as assigned


Qualifications

Education & Experience:

  • High school diploma or GED required
  • Previous 2-3 years' experience in a medical office, healthcare registration, or customer service setting required
  • Experience with electronic medical records (EMR/EHR) systems preferred

Skills & Abilities:

  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask and work effectively in a fast-paced environment
  • Knowledge of insurance verification and appointment scheduling processes preferred
  • Ability to maintain confidentiality and professionalism at all times

Language Skills:

  • Bilingual English/Spanish preferred
