About the Role

Overview:


The Blue Heron Client Services Administrator will play an essential role for our Client Services department. The Client Services Administrator will provide direct support to the Client Services teams and complete tasks required to successfully provide exceptional service to Blue Heron clients.


Responsibilities:


  • Support Client Services field team.
  • Support Construction field team.
  • Assembly of Client Warranty Package.
  • Schedule Client Warranty/Orientations/Key Turnovers and ensure closeout documentation is signed.
  • Create and maintain Client Services portals.
  • Distribute documents to appropriate Blue Heron team members and departments.
  • Complete utility closeouts after home closing.
  • Distribute warranty service requests received to Client Services field team.
  • Completes/submits all Client Services check requests to appropriate parties via DocuSign for approval and submittal to accounting.
  • Completes Notice of Completion paperwork for processing to accounting.
  • Ability to visit job sites as needed to retrieve warranty paperwork.
  • Work closely with all necessary Blue Heron departments.
  • Site Services – Schedule setup / removal / maintenance of site services (toilets, trailers, generator rentals, Conex boxes, fences, temporary power, BMP’s of SWPPPS, etc.).
  • Dust Permitting: set up and payment for projects, tracking, renewals.
  • SWPPPS Permitting: set up and payment for projects, tracking, renewals.
  • Dust card / class tracking expiration and scheduling dust classes to ensure all new hires get certified and no dust card expires. 
  • COI tracking of projects in warranty.
  • Schedule meetings, ordering of safety vests / hard hats / construction hard hat signs / fire extinguishers (and renewals) and supplies for field, etc.
  • SHA Card set up/tracking to ensure all necessary employees are certified and assist with reimbursement.
  • Miscellaneous duties as assigned by management.

Requirements

Essential Qualifications: 

  • Reliable transportation.
  • Expert level of proficiency with office-based technology (computer, tablet, printer, scanner, etc.).
  • High degree of proficiency with MS Office Suite (Word, Outlook, Excel, BuildPro).
  • Ability to multi-task.
  • Professionally communicate via verbal and written mediums to all customers, internal and external.
  • Punctual.
  • Warranty and construction knowledge helpful.
