About the Role

Description

The Administrative Assistant will provide essential support to ensure smooth day-to-day operations within the office and production environment. This role involves handling administrative tasks, assisting with invoicing and order entry, managing office supplies, and supporting communication across departments. The ideal candidate is detail-oriented, organized, and able to multitask in a fast-paced setting.


Requirements

Essential Duties and Responsibilities: 

  • Welcome Visitors by greeting them, in person or on the telephone
  • Maintain the visitor procedures: monitor the logbook, issue visitor badges and visitor safety
  • Direct visitors and phone calls to the appropriate team member
  • Maintain office equipment and inventory of office supplies: order office supplies, office snacks, any employee relations items (i.e., cards, flowers, gifts, etc..)
  • Coordinate office lunches and special events (Executive lunches, employee gatherings, and Holiday parties)
  • Supports all internal and external employment inquiries and requests 
  • Track all attendance of employees. Support Managers with discipline notices
  • Execute administrative and clerical duties in support of other departments
  • Manage machine manuals for the production department, responsible for printing out and placing in binders  
  • Support accounting with printing invoices, mailing checks, and filing documents.
  • Assists marketing in purchasing for special events
  • Maintain and update the website under the direction of the marketing team  
  • Assist in creating, obtaining approvals, and scheduling social media posts.
  • Support hiring events and marketing initiatives (social media, job fairs, hiring events)  
  • Perform light office housekeeping to maintain a clean and organized workspace  
  • Order office supplies and maintain stock for production areas.
  • Other duties as assigned

Qualifications:

  • Must be able to maintain the highest level of confidentiality
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Must be detail-oriented and take pride in the work performed
  • Outstanding employee relations
  • Self-motivated, high energy and level of enthusiasm and positive outlook
  • 2+ Years in an Administrative Assistance Role or office environment
  • Must be proficient in Microsoft Office: Word, Excel, Outlook, PowerPoint, and Teams
  • Excellent written and verbal communication skills. 
  • Accounting experience helpful but not required
  • High School Diploma or equivalent
