Position Title: Operations Manager 


Accountability: Operations Manager reports to the Vice President, Operations


Job Classification: Full-time, hourly, non-exempt – benefits eligible  


About: Daniel Stowe Conservancy (Stowe) inspires a love of nature and its beauty through unforgettable outdoor experiences. The nearly 400 acres of Stowe provides visitors with a chance to reconnect with nature in all seasons. The property welcomes guests to spectacular gardens, a conservatory dedicated to the display of tropical plants, sparkling fountains, 8 miles of trails, a dog park, and 3 distinct retail locations.


The Operations Manager provides a broad range of administrative and operational support, leading select human resources, administrative, operational and IT functions for Daniel Stowe Conservancy, as well as serving as critical direct support to the VP, Operations. Collaborating with internal departments, the Operations Manager contributes to increased operational efficiency, cost savings, and the overall success of the organization. An ideal candidate will be a self-starter and a “jack of all trades,” willing to jump in and provide the support necessary for seamless operations, and satisfied guests.


Responsibilities:  

  • Understands the importance of each guest and member and drives excellence to ensure an optimal experience in every way. 
  • Performs special assignments, projects, and supports events; prepares pre- and post-reporting and compiling of information as requested.
  • Drafts, proofreads, and distributes planned and unplanned weekly communications to individuals and / or the organizations.
  • Provides a broad range of administrative support functions which include but not limited to internal communications, tracking budgets, spreadsheets, purchasing, scheduling, workflow, and processing of documents. 
  • Provides ongoing support for the planning and execution of large-scale events and exhibits, including but not limited to preplanning, day of support, and post breakdown. 
  • Handle sensitive and confidential information with discretion and professionalism.
  • Establishes and maintains good interpersonal and vendor relationships.
  • Exemplifies the mission statement of Stowe, supporting staff, departments and leadership in pursuing and achieving goals. 
  • Performs any other duties needed to help drive our vision, fulfill our mission, and abide by our values.

Information Technology:

  • Serves as the Administrator, power user, and trainer for the HRISystem(s), and work order system, and others as needed and assigned. 
  • Leads the information technology needs of Stowe, serving as the point of contact and liaison for contracted vendors.

Human Resources:

  • Facilitates employees’ basic supply needs including IT set up, uniforms, and communication. 
  • Maintains relevant employee information and records including tax data, time records, job descriptions, EEO, workers compensation, and employee relation documentation in compliance with legal and retention standards.
  • Assists with the administration of employee benefits throughout the employee life cycle including medical coverage, retirement plan, and Paid Time Off/Leave of Absence. 
  • Supports employees in accordance with employee policies in the Employee Handbook.
  • Assists with the development and training of workplace safety and security policies with appropriate staff in accordance with OSHA compliance and regulation guidelines. 

Finance:

  • Compiles and submits payroll, documenting relevant updates for review.
  • Supports finance by receiving and entering invoices and assisting with vendor management when needed.
  • Perform bank deposits throughout the week as needed.

Requirements

  

  • Exhibits a passion for the mission of Daniel Stowe Conservancy.
  • Successfully pass a standard criminal background review.  
  • Able to work some nights, weekends, and federal holidays

  • - Ability to lift and carry up to 50 pounds. 
  • - Regular walking, lifting, twisting, crawling, pushing, and pulling, grasping.
  • - Frequent sitting, standing, squatting, kneeling.
  • - The role may require working in varying environments, including outdoor and indoor settings, and may involve exposure to hazardous materials or conditions.

Education & Experience:

  • Associate’s degree preferred.
  • Minimum of 3 years of experience in a non-profit operational role.
  • Advanced Microsoft Office skills including Outlook, Excel, PowerPoint, and SharePoint. 
  • Ability to work in a team yet also independently.  
  • The flexibility and resiliency to work well under pressure and quickly adapt to rapidly changing needs and priorities.
