The Pledge Processing Specialist consistently achieves deadline-driven results while providing high customer service to the United Way staff and our external stakeholders. You will accurately input all pledge and payment details from various systems and sources into our record database. You will coordinate with other departments and donors as needed to guarantee that all appropriate documentation is collected and maintained to meet the requirements of our yearly financial audit. You will be an ambassador of departmental and organizational processes while having the ability to identify areas for growth and improvement.

What you'll do:


Payments:

  • Support the processing of donations received through various platforms, to include Classy, Goodworld, Benevity, ACH
  • Record cash receipts via check, EFT, and other forms of payment in the Salesforce donor database system. 
  • To ensure business continuity, help create and maintain process/procedure documentation, training materials, and other collateral. 
  • Process charitable transactions received daily by United Way for Greater Austin in a confidential and accurate manner. 
  • Determine the proper gift entry coding (fund, gift type, etc.). 
  • Match gifts and constituent record updates. 

Pledges:

  • Data entry of pledge information, including processing of electronic pledge data.
  • Process pledges in a timely manner to meet reporting requirements, including acknowledgement letters. 
  • Import and validate electronic pledge data to eliminate duplicate or inaccurate records.
  • Review imported pledge data to ensure completeness and accuracy. 
  • Perform reviews of the data input to verify accuracy, either by self-review or by review by another. 
  • Confirm 501(c) (3) status of new designated agencies at time of data entry and resolve unidentified or ineligible agency designations with donors. 
  • Confirm 501(c) (3) and Patriot Act requirements for each agency following completion of the campaign data entry each spring.

CRM Management:

  • Provide high customer service to donors regarding pledge and payment assistance.
  • Identify donor requests, issues, and concerns as they arise, provide information and/or assistance, and resolve problems as needed. 
  • Elevate concerns around gift processing to include a change in coding, missing information, need for documentation, etc.  
  • Update donor biographical and demographical records, including name, address, phone, email, and other information. 
  • Provide ongoing development support to the Chief Development and Marketing Officer, Donor Operations Manager, Sr. Pledge Processing Specialist, and other team development members. 

What you will bring:

  • 2+ years of data entry experience (non-profit preferred)
  • Bachelor’s degree or equivalent experience preferred
  • Detail-oriented, organized, and able to meet deadlines
  • Proficient in Microsoft Office and Google Suite; Salesforce experience a plus
  • Comfortable in a fast-paced, cross-functional environment

This position is located in Austin, Texas, and reports directly to the RD Donor Database Manager.
