Position Overview


The Flight Coordinator is responsible for ensuring the smooth, safe, and efficient execution of daily in-flight catering operations. This role serves as a central point of coordination between internal departments, drivers, production teams, and customers to ensure flights are prepared, loaded, delivered, and handed off accurately and on time.

This is a hands-on, fast-paced role that requires strong decision-making, communication, and the ability to adapt quickly to changing flight schedules and customer needs.


Reports to: Flight Coordinator Supervisor

Location: Houston, TX


Essential Functions & Responsibilities

  • Ensure assigned flights are delivered according to customer requirements and company quality standards 
  • Perform thorough pre-flight checks using customer and internal checklists 
  • Ensure accurate catering provision and correct meal counts for each flight 
  • Minimize over-provisioning while meeting customer expectations 
  • Assist drivers with aircraft loading and proper stowage of catering items 
  • Ensure correct handover of catering to aircraft crew 
  • Confirm all goods sold per flight are captured and reported accurately 
  • Ensure delivery notes are signed by flight crew 
  • Forward signed delivery documentation to the Account Manager 
  • Produce daily catering delivery reports and operational statistics 
  • Prepare worksheets, labels, and production sheets for kitchen teams
  • Follow up on all incoming operational communication from customers 
  • Communicate urgent operational updates to internal departments promptly 
  • Track and control operational follow-ups to ensure closure 
  • Monitor assigned work areas to ensure hygiene, quality, and safety standards are met 
  • Identify operational issues and escalate concerns to the Account Manager 

Ramp Safety Responsibilities

  • Safety is the #1 priority on the airport ramp 
  • Complete required Ramp Safety Training and periodic refreshers
  • Ensure all drivers follow ramp safety rules and procedures
  • Monitor driver activity and behavior on the ramp 
  • Ensure vehicles are positioned and parked correctly 
  • Verify proper use of required PPE (safety vests, non-slip shoes, ear protection, etc.) 
  • Ensure safety devices (cones, wands, spill kits, etc.) are available and functional 
  • Report safety hazards, incidents, or equipment issues immediately 
  • Coordinate with external ramp providers to prevent safety risks

Requirements

 Schedule & Work Environment

  • Flexible scheduling within a 24/7 operation 
  • Work hours based on flight arrival and departure schedules 
  • Airline catering is seasonal with peak periods; PTO blackout periods may apply during high-volume times 

Qualifications & Requirements

  • Previous experience in airline catering or aviation operations preferred 
  • Ability to qualify for airport badging (10-year federal background check) 
  • Valid Texas driver’s license (Class C required) with a clean driving record 
  • Class A or B CDL with air brake endorsement is a plus 
  • Ramp safety experience preferred 
  • Strong organizational and multitasking skills 
  • Ability to work independently and as part of a team 
  • Strong verbal and written communication skills 
  • Comfortable working under pressure in time-critical situations 
  • Proficient with basic computer systems and Microsoft Office
