About the Role

About the role:

As a People & Office Coordinator, you will play a central role in keeping Everlab running smoothly as we scale.

You will work closely with our People Operations Manager to support hiring coordination, office operations, and leadership team logistics. This role is ideal for someone highly organised, proactive, and energised by being the person who keeps everything moving behind the scenes.

With a team of ~80 and growing quickly, this role is critical to ensuring our hiring processes run efficiently, our office feels exceptional, and day to day operational requests are handled seamlessly.

You’ll be based in Sydney, working from our Surry Hills office at least 3 days per week.


Responsibilities and scope:

  • Hiring and interview coordination: Own job ad posting across platforms and ensure listings remain accurate and up to date. Coordinate interviews end to end, including scheduling across candidates and hiring managers. Manage interview logistics including room bookings, calendar holds, and candidate communication. Support hiring workflow administration in collaboration with the People Operations Manager.

  • Office & workplace operations: Own day to day office management including supplies, ordering, facilities coordination, and vendor management. Ensure the office environment is organised, well stocked, and welcoming. Coordinate internal events, team lunches, and assist in offsites. Proactively identify and resolve operational friction within the workplace.

  • Leadership team coordination: Provide light scheduling, travel coordination, and logistics support to members of the leadership team. Support overflow coordination tasks as needed. Ensure meetings and key logistics run smoothly without constant follow up.

  • Internal coordination & team support: Act as a first point of contact for general internal operational requests. Support documentation organisation and administrative follow ups. Help improve internal systems and processes as we continue scaling.
