The Community Health Center of Southeast Kansas is a federally qualified patient-centered health center dedicated to providing quality health care to everyone regardless of their ability to pay. Originally opened by Mt. Carmel Regional Medical Center as an extension of its mission, it is now a patient-owned and operated organization serving more than 50,000 children and adults annually. The Community Health Center of Southeast Kansas employs more than 700 professionals and support staff at 18 locations throughout Crawford, Cherokee, Labette, Linn, Montgomery, Allen and Bourbon counties, and Ottawa County in Oklahoma.  The Community Health Center of Southeast Kansas is governed by a 12-member Board of Directors which includes patients and community representatives. Medicare, Medicaid, KanCare and private insurance are accepted. Discounted rates for services are available for those meeting financial assistance guidelines. No-one is refused care due to inability to pay.

GENERAL DESCRIPTION

This position provides administrative support to the Chief Financial Officer and Chief Human Resources Officer. The Administrative Assistant requires the ability to work in a fast-paced executive-level environment. Critical thinking and problem-solving skills, along with proactive thinking, are necessary. Responsibilities include, but are not limited to, scheduling/managing company vehicles, completing daily mail duties, overseeing the online company store, coordinating/setting up meetings, and other supportive functions to the departments. 

Requirements

ESSENTIAL DUTIES

  1. Provide general clerical and administrative support to the CFO, CHRO, and for others as directed, including but not limited to writing correspondence, maintaining schedule/calendar, filing, etc.
  2. Manages electronic scheduling system for all company vehicles, ensuring proper assignment of vehicles for specific needs. In addition, coordinates vehicle maintenance such as oil changes and scheduled cleaning, along with ensuring vehicles are in a clean and presentable condition.
  3. May assist with presentation creation, data collection, and/or assisting with preparation of materials for meetings.
  4. Collaborates with Materials Management as needed and maintains office supplies inventory for the administrative building.
  5. Oversees online company store and coordination of order deliveries.
  6. Assists Human Resources with employee events and daily tasks as needed.
  7. Collaborates with other Administrative Assistants to setup and support meetings, 
  8. Performs daily mail functions for the administrative building and other buildings as assigned.
  9. Primary contact for employees and visitors to the Administrative Office, providing excellent customer service.

QUALIFICATIONS

  1. Experience in a business office setting. Preferably in a healthcare related business office setting. 
  2. Must possess a valid driver’s license, as travel is required. Must maintain driving standards- no more than 2 minor or 1 major driving violations within a 3-year lookback period.


KNOWLEDGE, SKILLS AND ABILITIES

  1. Social and cultural sensitivity appropriate to ethnically and economically diverse patient-and employee-base
  2. Communicates through appropriate channels. 
  3. Ability to handle emergency situations calmly and effectively.
  4. Must be computer literate and proficient with Microsoft Office products.
  5. Must be able to maintain good inter-personal relationship with co-workers and other members of the health care team and the organization.
  6. Provide customer service in accordance to the organization’s mission.
  7. Must be able to multitask and complete tasks by deadlines.
  8. Be courteous and respectful when interacting with students, school representatives and other providers in the community.
  9. Maintain business and patient confidentiality in accordance to organization’s policy and procedure and HIPAA requirements.
  10. Must possess organizational skills, time management, prioritizing duties.
  11. Proficient with Microsoft Office products. Strong knowledge of excel is a plus. 


WORKING CONDITIONS

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to walk. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus. Must be able to work in a fast-paced environment working within deadlines. Computer work is frequent. Good lighting and comfortable temperature of ventilation at all times.
