About the Role

This isn't a support role; it's the backbone of our Sales Department. You'll manage bids from the first document to the final contract, serving as the go-to expert for a company that has spent over eight decades earning customer trust. If you're someone who finds satisfaction in precision, thrives on deadlines, and loves knowing a deal closed because of the work you did.


What You Will Do:

  • Manage the entire bid process from start to finish, including document preparation, submission, and follow-up.
  • Serve as the primary point of contact for all bids, bid renewals, and contract-related matters.
  • Maintain, update, and manage all state order forms, pricing sheets, and related bid documentation to ensure accuracy and compliance.
  • Coordinate and complete vendor registrations and vendor portal requirements related to bids, contracts, and procurement opportunities.
  • Assist with phone calls and email communications when team members are unavailable.
  • Develop and maintain a structured documentation and file-storage system for analyzing competitors, bid tabulations, historical bids, and contract records.
  • Ensure all folders are organized, updated, and maintained with each new bid, contract, and relevant market intelligence to support ongoing competitive analysis and business development efforts
  • Communicate with internal teams to gather required information and supporting documentation for bids and proposals.
  • Ensure compliance with all bid requirements, deadlines, and submission guidelines.
  • Respond to inbound calls and web leads.
  • Prepare and provide accurate quotes for customers as needed
  • Utilize Customer Relationship Management (CRM) platform when needed
  • Perform other duties as assigned.


Requirements


  • Excellent organizational skills and attention to detail.
  • Exceptional verbal and written skills.
  • Prior contract and bid experience preferred
  • A desire to work in a team environment.
  • Ability to meet deadlines.
  • MS Outlook and MS Professional Office Suite experience.
  • Experience in CRM system preferred.
  • Bachelor’s degree in a business-related or technical field preferred.
