Warehouse Operations Compliance Coordinator

JOB SUMMARY
Reporting to the Manager, Warehouse Operations, the Warehouse Operations and Compliance Coordinator supports daily operations and compliance related activities within the warehouse to ensure that all inbound and outbound shipments comply with Health Canada regulatory requirements. This role supports documentation accuracy, operational adherence to SOPs, training execution, and inspection readiness activities under the oversight of the independent Quality function.
This role is responsible for performing on-floor checks across warehouse operations, maintaining accurate documentation, training compliance reports, and other records for audit readiness.
In addition, the Warehouse Operations and Compliance Coordinator supports the development, revision, and implementation of standard operating procedures (SOPs) across supply chain operations, ensuring consistent application of quality, compliance, and operational standards throughout the network.
This position does not have authority for Quality approval, product release or disposition, deviation or CAPA approval, or regulatory decision‑making.
DUTIES AND RESPONSIBILITIES
• Perform on-floor checks on all inbound and outbound shipments to confirm activities are performed as described in approved procedures.
• Conduct in‑process quality control inspections on warehouse activities, including handling of medical devices, supplies, and pharmaceutical products.
• Provide on‑the‑floor compliance support to warehouse personnel, including temperature‑controlled environments.
• Ensure proper use of PPE and adherence to safety protocols.
• Maintain a safe working environment and report hazards or risks promptly.
• Identify and escalate quality control issues to the Shift Manager and Quality team in a timely manner.
• Identify and promptly escalate observed deviations, non‑conformances, or risks to the Manager, Warehouse Operations and the Quality team.
• Support change control activities, supplier-related quality issues, and trend analysis of quality data to identify recurring risks and contribute to preventive and corrective actions.
• Provide oversight of warehouse facilities, equipment, asset protection, and data integrity to ensure continued compliance with validated storage, handling, and documentation requirements.
• Complete warehouse compliance checklists, logs, and records accurately and in a timely manner, in accordance with approved procedures.
• Support controlled document use by ensuring current SOPs and forms are available at the point of use.
• Assist with record organization, retrieval, and archiving activities as directed by Site Manager and Quality.
• Support compilation of documentation for audits and inspections under Quality guidance.
• Support records management, including archiving, retrieval, and maintenance of controlled documents.
• Prepare documentation for off‑site storage and maintain tracking systems for easy retrieval under Quality guidance.
• Support coordination and execution of GMP and all operational training.
• Support adherence to GMP, GDP, and applicable Health Canada requirements at the operational level.
• Assist in implementing corrective and preventive actions (CAPA) and continuous improvement initiatives.
• Support regulatory inspection readiness, including Health Canada inspections and internal self- inspections, by preparing documentation, responding to requests, and exercising stop-work escalation where quality, safety, or compliance risks are identified.
• Support warehouse teams in understanding and applying quality standards during daily operations.
• Manage data reporting cadence for operational metrics.
Responsibilities Specific to Warehouse and Dex Staff are as follows:
• Willingness to work for extended periods in cold environments (walk-in coolers) while handling and packaging pharmaceutical products.
• Ability to maintain focus, attention to detail, and adherence to GMP or applicable regulatory guidelines, while working in temperature-controlled settings.
• Physical stamina to handle repetitive tasks in cooler conditions, including the use of appropriate PPE.
QUALIFICATIONS
EDUCATION
• Bachelor’s degree in Life Sciences or related field preferred. Equivalent combination of education and relevant work experience in a regulated warehouse or distribution environment will be considered.
EXPERIENCE
• Familiarity with GMP, GDP, or other applicable regulatory guidelines or formal training or certification in GMP, GDP, or Quality Systems is considered an asset.
• 1–3 years of experience in a regulated warehouse/distribution environment, preferably involving pharmaceutical products, medical devices, or healthcare supplies.
• Working knowledge of Health Canada regulations, GMP/GDP requirements, and quality management systems, with hands-on experience performing quality inspections, compliance checks, and documentation review.
• Experience supporting Warehouse Operations and Quality during audits, inspections, deviations, CAPAs, records management, and controlled documentation within a regulated environment, including temperature-controlled operations.
• Experience working cross-functionally with Operations, Quality, Inventory, and Logistics teams, and using warehouse and quality systems (e.g., WMS, QMS, ERP, or similar tools).

• Proficient in Microsoft Office (Word, Excel, PowerPoint) and able to learn new systems as required.
• Ability to work in temperature‑controlled environments and perform repetitive tasks with appropriate PPE.
• Physical ability to stand, walk, and perform warehouse‑based quality checks for extended periods.
• Ability to travel across BSRx sites.
• Familiarity with Good Manufacturing (GMP) or applicable Regulatory Guidelines, particularly regarding temperature-controlled storage and handling of pharmaceutical products (a must requirement for Warehouse and Dex employees).
