About The Opportunity:

Join our APAC People Services Team as a People Services Specialist, where you'll play a key role in managing end-to-end Hong Kong People Operations activities that require local regulatory knowledge, physical presence, and system access.

This role works closely with the APAC People Services Hub, local People Partners, and in-country stakeholders to ensure accurate, timely, and compliant delivery of employee lifecycle processes. You will operate within established guidelines while continuously building your expertise in Hong Kong Employment Ordinance, MPF regulations, and IRD requirements.

 

 

Employee Lifecycle & Onboarding:

  • Manage end-to-end pre-onboarding and onboarding activities for new joiners — including Workday profile creation, Personnel file management, Day 1 orientation, MPF form collection, benefit group enrolment, and welcome communications.

  • Administer the probation process including confirmation, extension communications, and Workday updates.

  • Ensure compliance with the Hong Kong Employment Ordinance across all lifecycle activities.

Absence & Leave Administration:

  • Approve and manage all leave types in Workday including statutory leaves (Maternity, Paternity, Adoption), company-specific leaves (Birthday, Marriage, Fertility, Mental Health), Annual Leave, Sick Leave, and Unpaid Leave.

  • Process Reimbursement of Maternity Leave Pay Scheme (RMLPS) and MPF Offset Subsidy applications.

  • Generate monthly leave accrual reports and submit to the payroll team within stipulated deadlines.

Payroll Support & Reporting:

  • Generate and submit monthly Workday reports and one-time payment updates (referral bonuses, OT, night shift, typhoon allowances) to support payroll processing.

  • Consolidate part-time, freelancer, and Corporate Walker payroll data — including timesheets, ADW calculations, and leave records.

Compensation & Benefits Administration:

  • Administer employee medical insurance, flexible benefits, and company-specific benefit entitlements for all eligible employees.

  • Support mid-year and year-end salary review administration including HRIS updates, letter preparation, and mass upload coordination.

Data Management & HR Administration:

  • Perform employee data updates in Workday and maintain accurate P-files and personnel records in Google Drive.

  • Prepare and issue employee-requested letters (employment verification, bank account, salary proof, embassy letters) obtaining Head of People wet signature where required.

  • Process internal transfers, promotions, contract conversions, cost centre changes, and contract expiry follow-ups in Workday before monthly payroll cut-off.

Expat Management & Visa Administration:

  • Support employment visa applications and extensions for non-local employees — coordinating online submission, preparing extension letters, and obtaining Head of People wet signature.

  • Track visa and passport expiry dates for all expat employees and initiate renewal reminders at least two months prior to expiry.

  • Coordinate HKID application, payroll bank account opening, and accommodation support for expat new arrivals.

Offboarding & Exit Management:

  • Manage end-to-end offboarding for voluntary and involuntary leavers — including resignation acknowledgement, leave report generation, exit follow-up, and final payment coordination.

  • Coordinate the Hong Kong tax clearance process (IR56G preparation, IRD submission, withholding of final payment until Letter of Release is received) for leavers departing the city.

  • Terminate leavers' medical insurance, MPF, corporate accounts, and Workday records before or on the last working day.

Continuous Improvement & General Support:

  • Handle general HR queries from employees and managers, escalating complex cases to the People Partner or APS Lead as appropriate.

  • Raise and manage Jira tickets for backend system changes; stay informed of Hong Kong employment law and regulatory updates.

  • Support process improvement initiatives and any other ad hoc projects assigned by the APS Lead.

Qualifications

  • 3–5 years of experience in People Operations or HR Administration — with at least 1–2 years in a local Hong Kong HR role.
  • Working knowledge of the Hong Kong Employment Ordinance and MPF Ordinance; ability to apply guidance in day-to-day HR operations.
  • Hands-on experience with MPF administration, statutory leave processing, and IRD tax filings (IR56B, IR56F, IR56G).
  • Familiarity with the Rental Reimbursement Program and Hong Kong tax efficiency schemes is a strong advantage.
  • Strong attention to detail with the ability to manage high-volume transactional work accurately and within deadlines.
  • Customer-centric mindset with a strong focus on employee experience.
  • Ability to work independently, prioritise tasks, and meet deadlines in a fast-paced environment.
  • Strong stakeholder management and communication skills — able to coordinate effectively with employees, HR partners, and cross-functional teams.
  • Tech-savvy, with experience in HRIS (Workday preferred), Jira, and Confluence being a plus.
  • Highly adaptable, proactive, and a team player with a strong sense of ownership.
  • Comfortable working onsite in the Hong Kong office and collaborating with regional teams.
