The Employee Relations Specialist provides frontline employee relations support to employees, managers, and clinic/office operations teams across the Philippines. The role is responsible for managing minor disciplinary and conduct-related cases, supporting administrative investigations, ensuring compliance with Philippine labor regulations and DOLE requirements, and maintaining accurate employee relations documentation and records.
The Employee Relations Specialist also partners with managers on basic policy interpretation, performance management monitoring, and employee relations best practices to help foster a fair, compliant, and respectful workplace environment.
This role requires strong attention to detail, sound judgment, professionalism, confidentiality, and the ability to manage sensitive employee matters with fairness and consistency.
KEY RESPONSIBILITIES:
Employee Relations Case Management
Manage and coordinate minor disciplinary and conduct-related cases, including attendance issues, behavioral concerns, and minor clinic non-compliance with clinical and cash management policies, in accordance with company policies and Philippine labor regulations.
Conduct preliminary fact-finding and assist in administrative investigations involving employee complaints, misconduct, policy violations, and workplace concerns.
Prepare accurate and timely case summaries, investigation notes, documentation, and case trackers.
Draft Notices to Explain (NTEs), Return-to-Work Orders, counseling memos, and other employee relations correspondence for review and approval by the ER Advisor or ER Manager.
Ensure proper documentation, confidentiality, and maintenance of employee relations records.
Labor Compliance and Regulatory Support
Ensure compliance of offices and clinics with DOLE and other Philippine government regulatory requirements, including but not limited to:
Monthly, quarterly, and annual labor reports
Occupational Safety and Health (OSH) compliance
Drug testing requirements
Safety Officer training requirements
Other labor and regulatory compliance obligations
Maintain and organize records required by DOLE regulations and internal compliance standards.
Coordinate with internal stakeholders to address compliance gaps and monitor completion of required actions.
Manager and Employee Support
Provide guidance to managers and employees regarding basic employee relations matters, company policies, code of conduct concerns, and disciplinary processes.
Support managers in monitoring employee Performance Improvement Plans (PIPs) and ensure proper documentation and follow-through.
Escalate complex or high-risk employee relations matters to the ER Advisor, ER Manager, HR Leadership, or Legal team as appropriate.
Training and Policy Compliance
Assist in delivering employee relations and workplace conduct training sessions for employees, supervisors, and managers.
Support implementation and monitoring of HR and Compliance initiatives and policies.
Safekeep and monitor compliance documentation, including:
Employee Handbook Acknowledgments
Conflict of Interest (COI) declarations
Other required HR and compliance-related documents
QUALIFICATIONS:
Education
Bachelor’s degree in Human Resources, Psychology, Behavioral Science, Business Administration, Legal Management, or related field.
Experience
Typically requires 2–4 years of relevant Human Resources or Employee Relations experience.
Experience handling employee disciplinary cases, administrative investigations, or labor compliance matters in the Philippines is preferred.
Experience in healthcare, BPO, shared services, or multi-site operations is an advantage.
Knowledge, Skills, and Competencies
Working knowledge of Philippine Labor Code, DOLE regulations, and employee relations practices.
Strong documentation, case management, and report-writing skills.
Ability to handle confidential and sensitive matters with professionalism and discretion.
Good communication, interpersonal, and conflict resolution skills.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and work independently with minimal supervision.
Proficient in Microsoft Office applications and HR systems
