Summary
This position supports commercial HVACR service operations by managing client inquiries, coordinating work order updates, and ensuring consistent follow-ups. The role assists Facilities Managers with proposal development, dispatching HVACR technicians, and tracking jobs through completion and timely invoicing. Sourcing vendors, pricing, and quotes for necessary reactive work orders, repairs, and installs. Strong organizational skills, attention to detail, and collaboration are essential.

The growth path for this role includes moving up into an FM role with people and account management responsibilities.


Job Responsibilities

  • Manage HVACR repair and maintenance (R&M) work orders and PM programs for assigned client accounts, overseeing projects from initiation through completion while maintaining service level expectations. 
  • Coordinate dispatch of commercial HVACR technicians and vendors for routine maintenance, emergency service, and system repairs, ensuring timely response and job completion. 
  • Obtain vendor assessments, diagnostics, and pricing for HVACR equipment. Review quotes, secure approvals, and ensure alignment with client protocols. 
  • Verify scopes of work, assign appropriate HVACR vendors, and track progress including scheduling, lead times, and completion status. 
  • Maintain accurate updates in work order systems throughout the job lifecycle, including communication with clients, vendors, and internal teams. 
  • Support issue resolution, client escalations, and invoice reconciliation in coordination with the Facilities Managers and Project Managers.
  • Perform other duties as assigned. 

Requirements

 Proficiencies + Experience

  • 1 to 3+ years of experience in a commercial HVACR setting
  • Experience with MS Office and WOM Systems
  • Attention to detail 
  • Professional and customer-focused demeanor 
  • Ability to adapt in a fast-paced environment
