POSITION SUMMARY
The Project Coordinator provides general administration needs for the project team and full supports to Project Manager. Depending on the size of project, the Project Coordinator may work across multiple projects or may be dedicated to a Class IV or Class V project working within a task force team.

General Administration Supports
A.01
Travel management for the project: arrange, co-ordinate and manage travel requirements including flights, accommodation, transfers, in accordance with corporate travel guidelines and within project budget.

Travel Visa co-ordination: investigate visa requirements and arrange visas; monitor visa expiration and pro-actively arrange for renewals. Create Letters of Invitation as required for internal and external customers.

Project Permit administration support
A.04
Arrange and co-ordinate customer visits including meeting arrangements, conference room booking, catering, dinner, taxi transfers.
A.05
Arrange internal project regular meetings on behalf of the Project Manager.
A.06
Project coordination meetings with various internal stakeholders, meeting agendas and minutes handling.
A.07
Project coordination meetings with various external stakeholders, third parties meeting agendas and minutes handling.
A.08
Coordination meetings with Project consultants for Project permitting requirements etc. for documents, clearances, certificates, and approvals.

Maintain Project Organization Charts and contact list.

Collate CVs.

Assist team building initiatives and arrange Project celebrations and Project recognition items.

Arrange system access as required, for example, Non-Person Accounts, MS365, LAN access.

Undertake ad hoc and one-off clerical tasks for the project.

General Project Supports

Project setup forms (SAP, Open text, SPPID, SPMAT, SPI)

Develop and maintained an alert system for upcoming administrative deadlines. i.e. L.L. meetings, risk workshops, project and other departmental reporting’s etc. including compilation if required.
B.03
Coordinate for external and internal invoicing payment status (such as E-form, 5032 form etc.)

Intercompany PO management support.
B.05
Issue PR for miscellaneous items (such as site PPE/Site office stuff etc.).

Material Reservation (for sampling/calibration gas)
B.07
Coordinate Customs Declaration information for import goods (technical description, size, model, material, function…)

Construction / Commissioning period: React to multiple "RUSH REQUESTS" (Mostly order requests would require immediate order placement, follow up on goods to arrive next day).

Assist Project Manager in Successful closure of Project

Project Manager Role Supports

Project specific deliverables preparation/Coordination during Project definition, execution phase (Such as Project Execution Strategy, Project Risk Management, other execution plans etc.)

Overall support for maintenance of organizational culture and project communication on behalf of Project director as entrusted with Project team.
C.03
External communication/correspondences and project reporting’s on Project Director /Project Manager behalf as entrusted.

Project specific policy development with coordination of stakeholders.
C.05
Coordinate with construction for Temp Site facilities execution, contract award and concern internal and external stakeholder coordination to support site establishment.
C.06
Once Site work starts in full swing Project Coordinator may have to relocate to site to set up coordination between Site Construction Manager and Customer/Client.
JOB REQUIREMENTS
- Looking for experienced employee (More than 3-year experience up to 5-year experience) with bachelor’s degree in related industry such as Petrochemical, Gas or Engineering & Construction.
- Bachelor’s degree in accounting, Engineering, Management, Business Administration or similar is preferred.
- Competent in written and speaking English skill.
- Previous SAP Project system experience preferred.
- Better to have EPC experiences. but not mandatory required.
- Experience in Project related work such as technical or commercial proposal, project, commissioning.
- Plant Construction experience in Petrochemical, Gas or Engineering & Construction companies can be helpful.
