Compliance and Contracts Administrator

Description
The Compliance and Contracts Administrator plays a key role in ensuring the accuracy and compliance of subscription renewals and proposal-related documentation, including proposal contracts, renewal contracts, legal documents, and regulatory requirements. This role supports the proposal development process by maintaining compliance records, coordinating the legal review of documentation, and reviewing proposals to ensure adherence to internal policies and external requirements.
The ideal candidate will have experience in contract review, proposal compliance and administrative support, along with strong attention to detail and the ability to work collaboratively with cross-functional teams.
Our preference is for this role to be hybrid, based out of either our North Mankato, MN or Eden Prairie, MN locations. However, fully remote work may also be considered.

Responsibilities:
Contract Compliance & Documentation Support:
- Review subscription renewals and proposal contracts and related legal documentation to ensure compliance with internal policies, regulatory requirements, and contractual obligations.
- Verify that proposal terms, conditions, and legal language align with company standards and mitigate risk.
- Maintain accurate records of compliance-related documentation, ensuring all necessary approvals and verifications are completed before submission.
- Assist with tracking, organizing, and maintaining documentation related to proposal responses, security questionnaires, and contractual requirements.
- Interdepartmental coordination pertaining to third-party customer compliance-related documentation.
- Review proposal documentation for accuracy, completeness, and compliance with client RFP instructions, legal requirements, and internal quality standards.
Proposal Coordination:
- Assist with the proposal development process, from qualification to critical post-submittal reporting, ensuring all proposals are submitted on time and meet requirements.
- Coordinate with cross-functional teams to gather necessary information and ensure timely completion of deliverables.
- Post-award partner with the finance team to build and submit monthly, quarterly, semi-annual and annual financial reports.
Collaboration with Subject Matter Experts:
- Work with internal teams, including education experts, product developers, compliance and security, and sales teams, to gather relevant information and ensure our subscriptions and proposals accurately reflect our solutions for educational environments.
Proposal Repository Maintenance:
- Assist in maintaining a library of reusable content specific to the education market, including client Q&A responses, operational process overviews, case studies, and teacher testimonials.
Continuous Improvement:
- Contribute to refining and improving the proposal development process by collecting feedback from SMEs and clients.
- Identify ways to enhance communication of our value proposition to the education market and increase the overall efficiency of proposal development.
Education, Experience, and Skills desired:
- 2+ years of experience in an administrative, coordination, or support Bachelor's degree in Business, Compliance, Communications, or a related field (or equivalent experience).
- 2-4 years of experience in compliance, proposal development preferably in a B2B or technical environment.
- Excellent project management and organizational skills, with the ability to manage multiple proposals simultaneously and consistently meet deadlines.
- Familiarity with proposal management tools and software (e.g., Microsoft Office, RFP management systems).
- Knowledge of APMP best practices for proposal development is a plus.
Travel Requirements
This position requires minimal travel (less than 5%).

The pay range for this role takes into account the wide range of factors that are considered surrounding compensation including but not limited to: skill sets, experience and training, work location, and other business and organizational needs. At Capstone, it is not typical for an individual to be hired at the top of the range for their role. A reasonable estimate of the current range is $75,000-$90,000.
