About The Company
Baan Dek is a Thai registered Foundation with the mission of providing access to education, healthcare, and safety for all vulnerable children. One of the groups we support are children growing up in construction site camps – we estimate that there are tens of thousands of children in this situation throughout Thailand. These migrant children follow their parents to Thailand, where they end up living in precarious temporary shelters with limited access to essential services. Their vulnerable situation means that they are at risk of having their basic human rights taken away. We work in partnership with real estate and construction companies and local government entities, and have become the leading foundation in this sector. Baan Dek Foundation is supported by the Kids Home Development Network, a worldwide network of partners that facilitate fundraising and advocacy. The network is comprised of Kids Home UK, Kids Home Italia, Kids Home France and Kids Home US. Together they ensure the continued development of BDF programs in Thailand.

Your Mission

POSITION SUMMARY

Baan Dek Foundation is currently looking for a professional and dedicated local Administrative and Finance Officer who is committed to supporting vulnerable children and communities living in Chiang Mai and Bangkok. The Finance and Administrative Officer will work under the direct supervision of the Manager and Director of the Finance Department and co-supervision with the Admin and HR Department based in Chiang Mai and the Management team in Bangkok.

ROLE AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

The employee will work together with the team in Bangkok, the Finance Department and Admin&HR Department based in Chiang Mai. The main responsibilities of the Employee and will include, but are not restricted to, the following:


ROLE AND RESPONSIBILITIES:

The employee will work closely with the Bangkok team and the Finance Department based in Chiang Mai. The main responsibilities include the execution and oversight of procurement activities to ensure cost-effective, timely, and compliant acquisition of goods and services.


Procurement Responsibilities

  • Ensure procurement processes comply with organizational policies, donor regulations, and applicable laws.

  • Prepare bidding documents, evaluate quotations/proposals, and ensure proper documentation aligned with BDF policies.

  • Support the team in Bangkok to navigate through procedures.

  • Support the maintenance of up-to-date records of procurement transactions and contracts.

  • Monitor supplier performance and ensure timely delivery of goods and services.

  • Liaise with vendors, service providers, and internal teams to meet procurement needs.

  • Participate in finance team meetings and provide technical input.

  • Assist in developing framework agreements and preferred supplier lists.

  • Ensure transparency, fairness, and accountability throughout the procurement process.

  • Maintain accurate records of all payments made by the Bangkok office, liaising with staff and suppliers as necessary.

  • Liaise with the Chiang Mai team and send documents via post weekly/ as needed.


Administrative and HR Support

  • Ensure a well-maintained working environment in the Bangkok office by coordinating with external service providers (e.g., cleaning, maintenance, etc.).

  • Support the Director of HR and Public Relations and collaborate with the HR and Admin team to carry out administrative tasks (including support in recruitment and onboarding, internal communication, and coordination with the company to handle visa/work permit management). 

  • Coordinate organizational administrative functions and maintain proper document management, including staff contracts, visa and work permit records, tax documents, criminal background checks, and other required documentation.

  • Provide additional assistance with tasks as needed by the organization and the management team.

COMPLEMENTARY SUPPORT: 

As a member of the Baan Dek Foundation team, the Employee is responsible for:

  1. Ensuring that the programs/tasks implemented are of good quality, and are relevant to the mission and vision of the foundation 

  2. Respecting commitments with donors and embracing the overall vision of the Foundation and its humanitarian commitment.

  3. Promoting a constructive and productive working environment among the team. Actively supporting information sharing, transparency and dialogue among the staff and with beneficiaries of all projects.

  4. Supporting the management team in the development of requested communication, financial, activities, etc.

  5. Facilitating communication between the local team, beneficiaries, external stakeholders (local partners, schools, governmental organizations, foundations, etc.), and the management team.

  6. Assisting representation of Baan Dek Foundation upon request by welcoming, presenting Baan Dek programs and activities to visiting partners and sponsors as well as liaising with external stakeholders when requested.

  7. Supporting the management team in day-to-day missions and projects. 

Your Profile

QUALIFICATIONS

  • Nationality:  Thai 

  • Language requirements: Fluent in Thai, Good command of written and spoken English & Thai. 


EDUCATION/ EXPERIENCE:  

  • Studies: Bachelor’s degree in any of the relevant fields:  Administration, Human Resources and Finance related fields or equivalent in progressive work experience, office management, accounting, secretarial work.

  • Professional Experience: Minimum 2 years of experience in office administration, human resources, public relations, visa and work permit, and Finance related fields is required. Experience in Thai English document translation/positions and accounting related to NGO or social work are considered as assets. 

 OTHER SKILLS AND COMPETENCIES:

  • Creative and meticulous, ability to work independently with a deadline, ability to provide and receive positive criticism in a constructive manner, highly motivated, flexible and interested in humanitarian missions.

About Baan Dek Foundation

Baan Dek Foundation is a dynamic non-profit dedicated to empowering marginalized children and families living in urban poverty, particularly in construction camps across Thailand. 

The Thai construction sector employs approximately 700,000 migrants out of which 40% are women. BDF and UNICEF’s evidence-based study states around 60,000 children live with parents in construction site camps with slum-like conditions. These children and their parents face critical challenges in accessing essential services such as education, healthcare and child protection.

To address this challenge, BDF supports children and their parent’s immediate needs (access to healthcare, education, and child protection services), empowers their communities through a peer-to-peer approach (training for youth, adults, and women) and creates systemic change in the Thai construction sector through the Building Social Impact Initiative.
