About the Role

POSITION OBJECTIVE

The Conference Services Planner is responsible for leading the planning, coordination, and successful execution of group meetings and conferences assigned by the Director of Catering and Conference Services. This role plays a critical part in ensuring client satisfaction while driving revenue through effective event management and collaboration with internal departments. The Conference Services Planner will serve as the primary point of contact for clients, managing all logistical aspects of the program - including meeting space setup, food and beverage arrangements, audio-visual needs, and guest accommodations, while maintaining a keen focus on maximizing revenue opportunities and ensuring profitability. The objective of this role is to consistently exceed client expectations, build strong repeat business, and contribute to the property's overall sales and catering revenue goals through operational excellence and strategic event planning.

ESSENTIAL JOB FUNCTIONS

  • Plans and coordinates details for meetings assigned by the Director of Catering and Conference Services.
  • Complete accurate BEO's, upselling food, beverage, room rental, recreation, special amenities, and technology.
  • Communicate all details and changes regarding events to all departments.
  • Tour, inspect and monitor banquet rooms and presentations. 
  • Provide operational guidance to food and beverage event leads. 
  • Produces banquet checks for group master billing. 
  • Follow up with client contact at the end of each meeting to ensure satisfaction and obtain feedback. 
  • Other duties as assigned. 

EDUCATION/EXPERIENCE

  • High School diploma or general education degree (GED); Bachelor’s degree preferred. 
  • Two (2) years of Conference Services or related food and beverage experience require

  • Must be able to show initiative, including anticipating guest or operational needs. 
  • Maintain regular attendance in compliance with Salamander Collection Standards, as required by scheduling, which will vary according to the needs of the hotel. 
  • Maintain high standards of personal appearance and grooming.
  • Comply with Salamander Collection standards and regulations to encourage safe and efficient hotel operations. 
  • Must be able to maintain confidentiality of information. 
  • Perform other duties as requested by management.
  • Maintain knowledge of food and beverage pricing, proper preparation and presentation of food and beverage items.
  • Extensive knowledge of meeting room capacities, banquet set-up, audio-visual and any other pertinent details as they relate to function room set-up. 
  • Must possess computer skills, including, but not limited to, accounting programs, Microsoft Word, Excel, and Amadeus Delphi.
  • Excellent interpersonal and sales-related skills.

PHYSICAL DEMANDS

  • Must be able to complete administrative work using a phone, printer, copier, and/or computer for up to five (5) hours per day. Must be able to get from one area of the resort to another area of the resort which is on 40 acres of property in a quick, safe, and efficient manner. This includes traveling to and from meetings. Length of time of these tasks may vary from day to day and task to task. 
  • Long hours are sometimes required. 
  • Must be able to exert well-paced ability to maneuver between functions occurring simultaneously. 
  • Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis.
  • Must be able to lift, carry, push, and pull up to 15 lbs. occasionally.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other employees.

  • Must be able to work effectively in a stressful environment, communicate with others, effectively deal with customers, and accept constructive criticism from supervisors.
  • Must be able to change activity frequently and cope with interruptions.

Employer-provided Basic Life Insurance and Basic AD&D are provided after 90 days of employment. 401K eligibility is available to full-time employees after 90 days of employment; part-time and on-call employees can qualify to participate in a 401 (k) plan after two consecutive years of working at least 500 hours or working 1000 hours in one year. Currently, 401K Match is $0.50 on the $1.00 of an employee’s contribution up to 6%; there is a 5-year vesting period. Applications for all positions are accepted on an ongoing basis.
