About the Role

Position Summary

Apex Concierge Services is seeking a Director of People & Operations—a strategic, hands-on leader with deep HR, payroll, and operations experience. This person will be the CEO’s right hand, owning the full employee lifecycle, driving compliance, and building the organizational backbone needed for growth. The ideal candidate is tech-savvy (across property management, HR platforms, and AI tools), understands federal/Massachusetts employment law, and thrives in a fast-paced, hospitality-driven environment.

Key Responsibilities

Employee Lifecycle & HR Compliance

  • Lead recruiting, interviewing, hiring, and onboarding for all roles (concierge, doormen, porters, leads, etc.)
  • Ensure compliance with federal and MA employment laws (wage, hour, I-9, EEO, etc.)
  • Manage onboarding, orientation, and training plans; ensure all new hires are set up for success
  • Oversee performance management: schedule and document reviews, raises, disciplinary actions, and milestone check-ins
  • Administer offboarding, terminations, and exit interviews in compliance with legal requirements
  • Maintain and audit all HR, payroll, and compliance documentation

Payroll & HR Systems

  • Oversee payroll processes including data entry, audits, PTO, overtime, and issue resolution
  • Maintain accurate employee records and ensure timely updates in all HRIS and scheduling systems
  • Partner with external vendors to resolve payroll and compliance issues

Operations & Organizational Systems

  • Facilitate and document weekly, monthly, and quarterly meetings (set agendas, track follow-ups, distribute minutes)
  • Build and maintain organizational systems: spreadsheets, trackers, compliance calendars, project timelines
  • Monitor and support scheduling processes; ensure shift coverage and compliance with labor standards
  • Support vendor management, billing issues, and operational follow-up as needed

Technology & AI

  • Leverage company and property platforms for operational efficiency
  • Evaluate and implement new tech/AI solutions for HR, scheduling, and communication
  • Train and support team members on new systems and digital tools

Culture, Engagement & Leadership

  • Act as a visible, approachable resource for employees and site leads
  • Support recognition, engagement, and retention initiatives in partnership with the CEO
  • Model and reinforce Apex’s standards of service, professionalism, and people-first culture

 Schedule:

  • Full-time, primarily Monday–Friday but weekends may be required based on operational needs. This comes with the expectation of being onsite at various properties in the Greater Boston area
  • Flexibility required to adjust start/end times or work occasional late evenings or weekends to support onboarding, urgent staffing gaps, or key operational events
  • Some remote work for administrative tasks may be possible with management approval, but this is mainly a hands-on, in-person role
  • Schedule may fluctuate week-to-week based on business needs; advance notice will be provided whenever possible

Requirements

 

Qualifications

  • 5+ years of HR, operations, or people leadership experience (multi-site or hospitality preferred)
  • Demonstrated expertise in recruiting, onboarding, performance management, and offboarding
  • Strong working knowledge of federal and Massachusetts employment law (wage/hour, I-9, EEO, leave, etc.)
  • Proven experience with payroll administration (Paylocity or similar HRIS/payroll platforms)
  • Advanced proficiency with organizational systems (Google Workspace, Excel, project management tools)
  • Experience facilitating and documenting meetings (agendas, minutes, action tracking)
  • Tech-savvy: able to learn and optimize multiple platforms (property management, HR, scheduling, AI tools)
  • Strong communication, documentation, and problem-solving skills
  • High attention to detail, organizational rigor, and ability to juggle competing priorities
  • Discretion and professionalism with sensitive information
