Job Description

JOB DESCRIPTION: OFFICER 1, FUND ADMINISTRATION

Department: Fund Administration

Reports to: Manager, Fund Administration

Job Summary:

An entry-level corporate secretarial position responsible for delivering basic corporate secretarial services under supervision. This role focuses on standardized processes and routine administrative operations while developing core competencies. The position handles low-complexity tasks within established frameworks.

Core Responsibilities:

  • Execute basic corporate secretarial tasks following established procedures
  • Maintain accurate documentation and records within defined guidelines
  • Support routine administrative operations with guidance
  • Follow quality control processes and compliance requirements
  • Develop understanding of basic corporate secretarial requirements

Tasks:

  • Draft basic minutes and board papers using templates
  • Process routine regulatory filings with relevant authorities
  • Update and maintain statutory books and records
  • Conduct basic file reviews following checklists
  • Support document preparation for meetings
  • Maintain client databases with guidance
  • Monitor basic statutory deadlines
  • Respond to routine administrative queries
  • Complete detailed operational checklists

Qualifications

Educational Background:

  • Advanced degree (MBA or equivalent) is strongly preferred.

Professional Experience:

  • At least 2 years of experience in a corporate secretarial, administrative, or similar role
  • Experience in managing client service operations and handling multiple deliverables
  • Familiarity with CAS systems and/or corporate secretarial software is a plus
  • Exposure to corporate secretarial practices, particularly in funds and special-purpose vehicles, is an advantage
