About the Role

Description

The Orchestra Librarian plays a vital role in the artistic success of the Dallas Symphony Orchestra by preparing, managing, and maintaining all music materials for rehearsals and performances. This role operates in a fast-paced, highly detailed, and deadline-driven environment, working closely with conductors, musicians, and cross-functional teams to ensure the highest standard of performance materials. As part of a collaborative library team, the Orchestra Librarian helps deliver seamless musical operations across all DSO programs and concerts. 

  

Key Responsibilities


Music Preparation & Library Operations

  • Acquire, prepare, and organize music for all DSO programs, including Classical, Pops, Youth, Family, Teen, and special series
  • Order, rent, or purchase scores and parts as needed
  • Proofread, edit, and mark parts and scores to performance standards
  • Prepare and distribute performance materials, including bowings, cuts, and inserts
  • Extract and create specialized parts or excerpts as required
  • Serve as Librarian on duty for rehearsals and performances

Collaboration & Artistic Support

  • Partner with conductors, musicians, and Artistic, Operations, and Education teams throughout the repertoire preparation process
  • Provide music services to conductors and orchestra members, including part adjustments, repairs, and practice materials
  • Support audition processes through the creation of excerpts and audition books

Performance & Production Support

  • Coordinate with Stage Management and Orchestra Personnel to ensure accurate stage setup for rehearsals and concerts
  • Assist with concert production materials, including concert order sheets and documentation

Library Systems & Administration

  • Maintain accurate repertoire data using OPAS and other systems
  • Generate concert documentation and reports, including ASCAP/BMI submissions
  • Catalog and organize orchestra and choral library materials
  • Assist library leadership with special projects and ongoing operations

Requirements

  

Education & Experience

  • Bachelor’s degree in Music or a related field required
  • Professional orchestral training or equivalent experience preferred

Musical Expertise

  • Advanced ability to read full orchestral scores and parts
  • Strong knowledge of orchestral repertoire, style periods, and instrumentation
  • Experience preparing professional-level orchestral materials with precision and accuracy
  • Familiarity with copyright considerations and music publishing practices

Technical Skills

  • Proficiency in Microsoft Office and Adobe Acrobat
  • Experience with OPAS or similar repertoire management systems
  • Working knowledge of music notation software (e.g., Sibelius, Dorico, Finale, or MuseScore)
  • Familiarity with Adobe Photoshop a plus

Additional Requirements

  • Availability to work evenings, weekends, and non-traditional hours as needed for rehearsals and performances
  • Working knowledge of common musical terms in English, German, and Italian

Physical Requirements

  • Frequent standing, walking, and use of hands for handling music materials
  • Ability to lift and move materials up to approximately 30–40 pounds
  • Close vision and focus are required for detailed music preparation
