Position Summary
The Litigation Assistant’s primary role is serving as the calendar and e-filing support of the litigation team. Reporting to the Litigation Manager, this position supports Litigation Specialists in managing case workflows while embodying GGRM's values in all aspects of work.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- Processing and documenting litigation matters in accordance with Firm policies and procedures
- Ensuring case management software (CMS) feed is cleared daily
- Completing all assigned tasks by relevant deadlines
- Ensuring emails are cleared daily
- Monitoring, saving, and organizing all e-filed and e-served documents within required timeframes
- Maintaining accurate, organized digital and physical case files
- Documenting all case activity in the CMS with precision and attention to detail
- Uploading and organizing documents in appropriate CMS tabs
- Finalizing, filing, and serving documents in compliance with local court rules
- Processing hard-copy filings as required
- Calendaring court appearances, deadlines, and litigation events accurately across all systems and Outlook
- Monitoring calendar conflicts and ensuring adequate preparation time is scheduled
- Drafting shell litigation documents, including summonses, initial filings, disclosures, discovery, and pleadings
- Compiling exhibits, exhibit cover pages, and exhibit indexes under supervision of Litigation Specialists
- Submitting proposed orders and coordinating opposing counsel approvals and signatures
- Supporting pre-litigation matters, including minors’ compromises, by finalizing and filing petitions and proposed orders
- Preparing hearing materials and electronic hearing binders in collaboration with Litigation Specialists
- Bates stamping discovery materials as required
- Coordinating service of process and tracking status with process servers
- Ensuring timely filing and accurate tracking of all court-related documentation and activities
- Processing and tracking case-related expenses, invoices, and litigation costs
- Handling communications with clients, adjusters, providers, and opposing counsel professionally and compassionately
- Coordinating meetings, mediations, depositions, and scheduling with clients, attorneys, and third parties
- Requesting and obtaining medical records, bills, balance verifications, and subrogation lien documentation
- Managing reduction requests and finalizing related correspondence
- Maintaining proactive, consistent communication with all stakeholders and team members
- Supporting Litigation Specialists with additional tasks, special projects, and workflow needs
- Contributing to overall team efficiency, effectiveness, and adherence to Firm values
- Ensuring all deadlines are met with accuracy and excellence
- Performing other duties as assigned
Requirements
Required Qualifications (Knowledge, Skills, and Abilities)
- At least one year of litigation or claims experience, preferably in Personal Injury.
- Excellent oral and written communication skills
- Excellent interpersonal, analytical, and critical thinking skills
- Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Ability to operate basic office equipment such as a copy machine, fax machine, printer, scanner, computer
- Ability to work with databases and online technological platforms
- Ability to be detail-oriented, diligent, and flexible
- Ability to handle conflicting time demands and focus on task completion with little direction or need for supervisory follow-up
- Proficient command of the English language in both oral and written format
- Ability to work and maintain patience with diversified individuals of various backgrounds and professional competencies
- Committed to maintaining integrity and confidentiality on behalf of clients and the Firm
Preferred Qualifications (Knowledge, Skills, and Abilities)
- Associates Degree or Certificate program in Legal Studies
- Minimum of six months of personal injury experience
- Bilingual in English and Spanish
- Authorized Nevada Notary
