As a Project Coordinator (ARG) – Data Management, you will play a vital role in supporting Community HealthWorks' data systems by ensuring accurate data entry, validation, and reporting.
This position will work closely with program teams, leadership, and external partners to assist with data workflows, maintain quality control, and generate reports as they pertain to the Adult Reentry Grant (ARG). The Project Coordinator supports Salesforce NPC data processes, troubleshoots data issues, and provides technical assistance to internal users to ensure efficient system use.
Key Responsibilities
Data Entry, Quality Control & Validation
- Ensure accurate and timely data entry into Salesforce NPC and other data systems.
- Enter referrals into Salesforce NPC on a daily basis
- Complete quality control for ARG referrals, assessments, and services to ensure accuracy in the data
- Identify and resolve data inconsistencies, formatting errors, and duplicate entries.
- Use Excel functions (e.g., formulas, pivot tables, conditional formatting) to clean, validate, and analyze data.
- Support data validation processes, ensuring that ARG program reports are complete and accurate
- Maintain data security and confidentiality, ensuring compliance with HIPAA and organizational policies.
Referral Management
- Manage and maintain the Reentry email inbox
- Respond to inquiries in a timely manner
- Enter referrals into Salesforce NPC on a daily basis and assign the referral accordingly
Reporting & Documentation
- Assist in generating routine reports, program dashboards, and data summaries for leadership and funders.
- Utilize pivot tables, v-lookups, and basic formulas in Excel to assist in report generation and data organization.
- Support the development of process documentation and workflow improvements to enhance efficiency.
- Complete ad hoc data requests for mailing lists, program reports, and internal performance tracking.
User Support & Training
- Assist internal staff with troubleshooting data entry challenges, understanding reporting functions, and following best practices for maintaining accurate and secure data.
- Respond to requests for minor system fixes and escalate more complex issues to the Data Management Manager as needed.
- Support staff training on database navigation, reporting tools, and data integrity standards.
Collaboration & Team Support
- Support the Data Management Manager and ARG Project Manager(s) by executing data workflows, maintaining records, and assisting with report generation.
- Work collaboratively with program teams and leadership to ensure data is aligned with program goals and reporting requirements.
- Participate in team meetings and cross-functional projects to improve data-driven processes.
Other Duties as Assigned
- Support special projects related to data management, compliance, and operational reporting.
Requirements
Education & Experience:
- Associate’s degree (A.A.) or equivalent from a two-year college or technical school in Public Health, Computer Science, Business Analytics, or a related field; OR
- 2+ years of experience in data entry, reporting, or technical support in a nonprofit, healthcare, or social services setting.
Technical Skills:
- Proficiency in Microsoft Excel (ability to use formulas, pivot tables, v-lookups, and other basic data analysis tools).
- Experience working with database systems (Salesforce preferred), Microsoft Word, and SharePoint.
- Strong attention to detail and accuracy in data entry and reporting.
Analytical & Organizational Skills:
- Ability to identify and resolve basic data issues independently.
- Strong organizational skills and ability to manage multiple priorities.
Communication & Training:
- Strong verbal and written communication skills.
- Ability to explain data processes and system functions to non-technical staff.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday between the hours of 8:00 a.m. to 5 p.m. and subject to change based on the program needs.
