Requirements

Key Responsibilities

  1. Assist with new hire onboarding and document collection
  2. Maintain and organize employee records, certifications, and compliance paperwork
  3. Review timecards for completeness and accuracy
  4. Answer inbound calls and route or follow up as needed
  5. Schedule meetings and support daily office coordination
  6. Enter and update data in company systems accurately
  7. Track job updates and serve as a communication link with field crews
  8. Organize daily and weekly reports for leadership review
  9. Support billing by organizing documents and flagging missing information
  10. Coordinate with internal teams and vendors to keep information flowing on time

Requirements

  1. Strong attention to detail and organization
  2. Clear communication skills (phone, email, and in-person)
  3. Basic Microsoft Word and Excel
  4. Willingness to learn new systems and processes
  5. Ability to juggle multiple tasks without guidance
  6. Previous administrative experience is a plus, but not required

Work Environment & Schedule

  1. Office-based role with regular communication with field teams
  2. Fast-paced environment with changing priorities
  3. Daily use of computers, phones, and office equipment
  4. Business hours range from 6:00 AM to 9:00 PM, seven days a week
  5. Schedules assigned based on business needs (4-10 options available)
  6. Weekend and holiday availability may be required
