JOB TITLE: Court Analyst

 A Non-Represented Position


REPORTS TO: Docket Management Director


GENERAL SUMMARY: 

 

Under the general direction of the Docket Management Director, conducts investigations and statistical analysis of case flow management. Provides information and technical assistance to Court personnel regarding Court operations and programs.


PRIMARY DUTIES & RESPONSIBILITIES: 

1. Follows methods and procedures to monitor case flow management of individual dockets and recommends solutions in compliance with Court and State rules and policies. 

2. Retrieves and compiles data and statistical information identifying causes of case flow problems. Recommend solutions.

3. Analyzes and monitors case progress, scheduling, and case movement through the court to ensure timely disposition, recommends corrective and preventative action in response to issues, and develops and implements methods to increase case flow efficiency.

4. Provides analysis and statistical reports to the Docket Management Director, Court Administration, and Judges to be used for analysis purposes.

5. Troubleshoots, analyzes, and solves problems related to case scheduling, flow, and processing requiring interaction with judges, attorneys, litigants, other court personnel and the public.

6. Performs general clerical functions, including answering phones, typing, copying, filing, faxing, mail, sending and receiving e-mail, and distribution of calendars, schedules and lists.

7. Prepares, generates, proofreads, and distributes correspondence, reports, brochures, pamphlets and other court publications for distribution to the public or for posting on the Court’s website or intranet, as instructed by Management.

8. Adheres to the standards of maintaining the confidentiality of information that may become known to the Analyst regarding defendants and judges’ dockets. 

9. Completes special projects assigned by the Docket Management Director.

10. Attend seminars and workshops to enhance training skills and keep abreast of pertinent training methodologies, trends, and case flow practices.

11. Assists with in-house training for clerical and professional staff on various Court processes that includes software applications and specialized training such as JIS.

12. Assists in the preparation of course manuals, instructional materials, course catalogs and booklets for various orientations, programs and special projects.

13. Assists in the preparation and distribution of training reports. 

14. Performs other duties as assigned.

JOB QUALIFICATIONS: 

1. A bachelor’s degree in business administration, or related field is preferred. Equivalent training and experience in a court setting.

2. One to two years of progressively more responsible work experience in case flow management and statistical analysis.

3. Strong organizational and time management skills.

4. Ability to research and interpret rules and statutes.

5. Attention to detail, accuracy and discretion.

6. Computer skills necessary to effectively utilize word processing, database, and spreadsheet applications.

7. Mathematical ability to make complex mathematical calculations with speed and accuracy.

8. Interpersonal skills are necessary to communicate and exchange information.

9. Ability to work accurately, independently and collaboratively in a fast-paced environment.

10. Mental ability to handle the pressures related to simultaneously managing multiple projects, meeting deadlines, fulfilling scheduling requirements, and projects requiring concentration and attention to detail.

11.Mental ability to frequently handle pressures related to disruptions due to people and/or telephone calls and dealing with concerns of citizens and employees.

WORKING CONDITIONS:

1. Strength, dexterity, coordination, and vision to use a keyboard and video display terminal daily. Hearing to communicate with the public and court staff. Dexterity and coordination to handle files and single pieces of paper. Occasional lifting of objects weighing up to fifteen-five (15) pounds such as files, stacks of paper, references, and other materials. Moving from place to place within an office. Some reach for items above and below desk level.

2. Ability to occasionally sit, walk or stand for long periods of time, perform repetitive movements and work in confined areas.

3. Normal office environment with little discomfort due to heat, dust, noise and the like. Extended workdays beyond 7.5 hours/day and evening hours may occasionally be required.
