Position Summary
The First Impressions Coordinator-Part Time serves as the welcoming face of The SEED School of Miami, providing exceptional customer service and a positive experience for all students, families, staff, and visitors. This role is responsible for managing front desk operations, overseeing the reception area, and supporting school-wide culture initiatives to ensure a warm, organized, and safe environment. The coordinator is a key liaison between external stakeholders and the school and plays a vital role in upholding SEED’s values of respect, responsibility, perseverance, compassion, and integrity. The shift for this role is Monday - Thursday 3:00 PM- 9:00 PM, Friday 11:00 am - 3: 00 PM.
Essential Duties & Responsibilities:
- Greet and direct students, families, staff, and guests with professionalism and warmth
- Manage visitor sign-in/sign-out procedures and issue identification badges
- Answer and route phone calls, messages, and inquiries in a timely manner
- Maintain the front office space to ensure it is welcoming, tidy, and reflective of school culture
- Monitor student entry/exit and assist with late arrivals and early dismissals
- Serve as a point of contact for incoming communication from families and community partners
- Distribute important school wide communications, including flyers, newsletters, and reminders
- Support logistics for parent events, student recognition days, and onboarding sessions
- Maintain front-facing calendars and coordinate scheduling for meetings and events in reception spaces
- Model and reinforce positive behavior and school values in all interactions
- Support the implementation of first-day-of-school and first-impression experiences for new and returning families
- Assist with student dismissal procedures to ensure efficiency and safety
- Participate in school-wide events and help create a welcoming environment for all community members
- Assist with mail distribution, deliveries, and supply inventory for front office and common areas
- Maintain visitor and student tracking logs, ensuring proper documentation for attendance or safety
- Provide clerical support to administrative team as needed (filing, scheduling, printing, data entry)
- Perform other tasks as required and/or assigned by supervisor(s).

- Maintains accurate attendance records and documentation across multiple platforms (e.g., DSIS, ORAH); ensures front office operations run smoothly, with timely completion of clerical and logistical tasks.
- Effectively uses digital tools and communication platforms (e.g., Talking Points, ORAH, DSIS, Microsoft Office, Google Suite) to manage records, coordinate scheduling, and support operational functions.
- Demonstrates flexibility in supporting diverse responsibilities—from attendance management to front office duties to event support—and collaborates across departments to meet school-wide goals.
Requirements
- High school diploma or equivalent; associate’s degree or higher preferred
- Minimum of 2 years’ experience in a customer service, administrative, or school setting
- Excellent communication, interpersonal, and organizational skills
- Proficient in Microsoft Office Suite and Google Workspace
- Ability to maintain confidentiality and professionalism in all situations
- Bilingual (Spanish or Haitian Creole) - (preferred)
- Shifts Monday - Thursday 3:00 PM- 9:00 PM, Friday 11:00 am - 3: 00 PM.
