Position Title: Associate Community Administrative Assistant

Reports to: Director of Associate Community
Job Summary:
- General clerical/secretarial work as needed/requested.
- Assists in streamlining processes as requested.
- Maintains up to date database of all Associate Members. including communicating changes to appropriate departments.
- Maintains an up-to-date contact list of all Associates, Sisters, and Fiat Spiritus Members in collaboration with the province leadership office through shared files (Annual directory, calendar or other as assigned).
- Responsible for preparation of seasonal mailings and personal greetings from the Associate Office.
- Organizes and prepares the quarterly mailings, or other mailings as assigned.
- Assist with the preparation of Associate events as directed and assigned.
- Assists with development and design of necessary materials as requested.
- Maintain Associate Office Archive files with summaries according to recommendations
from Notre Dame Archive Office for ease of tracking.
- Assists in Quarterly Associating News
- Assists in maintaining/preparation of data or reports upon request.
- Takes an active interest in the Associate Community’s well-being
and procedures for the betterment and success of the Community at-large.
- Reacts to challenges, exhibits ability to anticipate needs and prioritization.
- Engages thorough and consistent communication between Director’s primary office and
onsite office.
- Works efficiently with flexibility and adaptability handling a fast-paced work environment.

SPECIFICATIONS:
Prior Education and Training:
- High school education is required with training and/or significant experience in secretarial/administrative assistant responsibilities.
Prior Work Experience/Skills Required:
- Prior office experience required.
- Excellent computer skills required.
- Ability to relate to others on a frequent basis.
- Must possess excellent written and verbal communication skills.
- Ability and willingness to self-initiate and self-direct tasks.
- Graphic design experience preferred. Experience, familiarity or willingness to learn google docs, outlook, power point, canva and excel.
On-the-Job Training/Orientation Required:
- Completion of new co-worker orientation
Other Position Requirements:
- Must be able to work with minimal specific instructions.
- Excellent organizational skills and the ability to handle multiple tasks.
- Must have a high degree of interpersonal skills.
- Attention to detail and accuracy when working with numbers and minute details such as email addresses, dates, calculations, and record keeping.

Physical Demands:
- Position requires continuous sitting as well as occasional standing, walking, bending, climbing, and pushing/pulling.
- Position requires occasional pushing/pulling and/or lifting of up to 25 lbs.
- Position requires good visual acuity as well as the ability to see color.
