About The Company
UGL Regional Linx was established in 2021, after parent company, UGL Limited was selected to deliver operations and maintenance of rail infrastructure for the Country Regional Network (CRN). This network ensures the safe movement of people and goods throughout the regions of NSW, and links Sydney with many important regional centres. UGL Regional Linx commenced operations on January 30 2022 and works on behalf of the client, Transport for NSW (TfNSW) and will be responsible for managing an important network of assets. As part of its operation, UGL Regional Linx’s scope of work includes: • Network operations • Rail infrastructure maintenance and implementation of a new train control system - UGL’s proprietary system, Sigview. • Asset and property management, and • Safety, access, performance, and environmental management. UGL Regional Linx has made a strong commitment to local and indigenous employment, further strengthening the organisation’s commitment to regional NSW. As part of its operations, UGL Regional Linx established its head office and Network Control Centre in the heart of the Central West, Orange, NSW. The CRN network includes: • 2,386 route kilometres of operational passenger and freight rail lines, including 996 km of branch line track used predominantly for haulage of grain, with lower mass and speed limits than other parts of the network • 3,139 route kilometres of non-operational lines • 27,000 hectares of land and infrastructure • 1,312 level crossings (300 active) • 1,200 property assets (including 356 heritage sites) • 600 rail under bridges and 384 road overbridges The CRN is a crucial piece of infrastructure to regional NSW and UGL Regional Linx is committed to ensure that it delivers for all customers, from rail passengers to farmers and industry.

About the role

The purpose of this role is to provide comprehensive project coordination and administrative support to the Lead Integrator and Integration team. The position serves as a central operational hub by managing document control compliance in TRIM and SharePoint, maintaining project trackers, and delivering full secretariat support for key meetings. Additionally, the role drives efficiency by managing low-complexity projects, preparing high-level briefing materials for major stakeholders.

 

Key responsibilities

  • Design, develop and implement effective tools and processes for delivering and monitoring allocated tasks and activities as required by the Lead Integrator.

  • Monitoring and updating of Lead Integrator related registers, trackers, and management tools. Advising internal and external stakeholders of pending requirements and deadlines as required.

  • Ensure the Lead Integrator team document control standards are maintained according to the Project Information Management Plans in TRIM, SharePoint, and other relevant systems. This includes uploading and correctly filing all relevant correspondence, files, and approved documents and distribution, if required, to relevant stakeholders.

  • Project Management of low complexity projects to support the Integration team.

  • Assist Integration team members in their duties, providing coordination and administrative support as requested, including providing coverage for applicable duties during absences.

  • Consult, liaise, and negotiate with internal and external stakeholders, partners, and suppliers to deliver allocated tasks and activities.

  • Coordinate and assist in the preparation of project briefings and associated deliverables for the Lead Integrator, Cross River Rail Delivery Authority, Queensland Rail and the Department of Transport and Main Roads.

  • Participate in Project Reporting monthly cycle activities, including contributing to detailed project reviews for Weekly, Monthly and Quarterly reviews.

  • Preparation of documentation, including presentations, reports, and briefing papers for project related meetings.

  • Provide secretariat support to the Lead Integrator for related team meetings including Leading and chairing meetings where applicable, Preparation of meeting packs and agendas and minute taking, and updating and tracking action registers

     

About You

  • Min of 2 years’ experience undertaking similar role in infrastructure or systems projects

  • Project Management qualifications highly desirable but not essential

  • Strong interpersonal skills, including a demonstrated ability to build effective relationships and work productively with a diverse range of internal and external stakeholders.

  • Ability to provide clear and concise written and verbal communication with demonstrated ability to produce clearly articulated briefings and reports.

  • Strong computer skills in TRIM and Sharpoint would be highly regarded
