Position: Publications Manager

Reports to: Senior Publications Manager

Department: Publications

Location: In person, hybrid or remote

As a member of the PMG team, performance includes demonstration of the following accountabilities: communication, teamwork, and job knowledge.

The position performs high level administrative and management duties necessary to provide editorial services to authors, reviewers, editors, and the publisher for publications managed by Parthenon Management Group. The Publication Manager is a primary management leader of publications managed by Parthenon Management Group. The Association Manager is responsible for overseeing the administration, annual meetings, programs, and strategic plan of the publication(s). Other key duties include project management, problem-solving, and strategizing to ensure the publication’s long and short-term goals come to fruition. 

PRIMARY DUTIES AND RESPONSIBILITIES, include the following but are not limited to:

PMG

  • Assist with Policy and Procedures updates for Editorial Office  
  • Assist with coverage when coworkers are out of the office  

NPP/DPN

  • Revision and/or Initial QC folders (daily) 
  • Send daily Decision Letters 
  • Monthly Mailing Labels
  • Send Podcast Reminders and post to society website
  • Monitor monthly Podcast process 
  • Coordinate In Memorials with committee members and post to ACNP website
  • Attend monthly journal calls
  • Oversee NPP giveaway items
  • Obtain daily author approvals
  • Provide monthly labels to publisher
  • Assist with special projects
  • Assist with social media posts and reporting
  • Participate and assist with Journal-related activities at the society’s annual meeting
  • Assist with production concerns after export
  • Take minutes for NPP Senior Editor Meeting and Editorial Board Meeting
  • Assist with the Journal Award process with Principal Editor(s) and oversee Journal Award video and document collection
  • Manage the monthly Gratis subscription process
  • Send weekly AOP emails 
  • Assist with Journal budget
  • Manage wavier requests and Authorship Change forms
  • Export manuscripts to production
  • Coordinate Journal-related annual meetings (Senior Editor and Editorial Board Meetings)
  • Manage paperwork and website updates during transition of editorial staff, editors, and board members 
  • Manage updates to the journal website
  • Update journal-related sections on society website

JARO

  • Initial and Revision QC
  • Inbox monitoring
  • Obtain Author Approvals
  • Reminders to late reviewers, editors, and authors

SIRS

  • Revision and/or Initial QC folders (daily) 
  • Monitor Schizophrenia Journal Email 
  • Send daily Decision Letters 
  • Attend monthly journal calls
  • Assist with special projects/collections
  • Assist with social media posts and reporting
  • Assist with production concerns after export
  • Manage wavier requests and Authorship Change forms
  • Export manuscripts to production
  • Coordinate Journal-related meetings at (Senior Editor and Editorial Board Meetings)
  • Manage paperwork, submission system updates, and website updates during transition of editorial staff, editors, and board members 
  • Manage updates to the journal website 

WORK ENVIRONMENT

Position is in an office setting that involves everyday risks or discomforts requiring normal safety precautions. On occasion, the individual must be able to do moderately demanding physical activity such as handling and opening boxes weighing 35-40 pounds, standing, and walking extensively throughout the day.

Requirements

EDUCATION AND/OR EXPERIENCE

  • Bachelor’s Degree from a four-year university or equivalent experience.
  • Transparent and high integrity leadership.
  • Solid, hands-on, management skills, including budget preparation, analysis, decision-making, and reporting.
  • Strong organizational abilities including planning, delegating, program development, and task facilitation. 
  • Skills to collaborate with staff, editors, and publishers.
  • Strong written and oral communication skills are important. 
  • Demonstrated ability to oversee, train, and collaborate with staff.
  • Detailed oriented with excellent organizational skills.
  • Travel is required.
  • Working knowledge of Microsoft Office Suite, specifically Word and Excel strongly preferred.
