Summary

The Maintenance Manager will be responsible for the day-to day operations of the property while emphasizing a positive response to concerns of residents and clients. Some of those responsibilities will entail but are not limited to common area and apartment repairs in the scope of plumbing, electrical, HVAC, carpentry, painting and appliances. Further oversight of the building’s curb appeal through building exterior inspections, cleaning and grounds maintenance is required. Customer service and attention to detail are critical skills to ensure the satisfaction of the building’s residents. Responsibilities may also include facilitating special projects as assigned by upper management. *Please note overtime may be required and the shift may change at any time due to operational needs. 

Responsibilities

 

  • Supervise and lead team’s response to residents’ maintenance requests in a timely manner by diagnosing and repairing HVAC PTAC/Heat-Pump units, appliances, electrical, waste management, and plumbing systems in a manner consistent with Brandywine’s operating procedures and with the intent to reduce recurring problems. Follow through to ensure issues are resolved and provide timely updates to residents/management as needed.
  • Maintain Brandywine’s customer service standards. 
  • Ensure vacant apartments are made move-in ready in a timely manner by utilizing in‑house turns as needed and coordinating external turn vendors-such as painters and cleaning teams-especially during high‑volume periods.
  • Interface with Maintenance staff, Community Manager, Director of Facilities, Property Management Team, Vendors, and Residents to coordinate daily activities at the building.
  • Use Entrata or like to view, add notes to, and close maintenance requests.

  • Maintain direct accountability for adherence to approved Repair & Maintenance (R&M), Turn, and Capital Expenditure (CapEx) budgets through proactive planning and cost control, while coordinating closely with the Director of Leasing to align unit turn schedules, capital projects, and leasing objectives to maximize occupancy and asset performance.
  • Monitor Building Management Systems e.g. ‘Automated Logic or like’ to view, acknowledge and attend to system alerts, and ensure the building systems are operating as designed. Report any critical issues to upper Management.
  • Ensure safety standards including environmental procedures, lockout/tagout, mold awareness programs, safe work practices, and emergency response procedures are maintained. 
  • Establish repair/maintenance schedules for written property and preventive maintenance program provided by Director of Facilities and ensure they are adhered to.
  • Attend and complete all required safety trainings, staff development programs, and staff meetings, provide maintenance staff trainings as needed.
  • Adhere to all regulatory requirements and conducts daily/weekly/monthly/quarterly/yearly inspections of all buildings and grounds to ensure compliance with governmental policies and procedures.
  • Maintain an inventory of supplies and tools sufficient for providing the appropriate level of service.
  • Inspect buildings back of the house equipment and common areas on a daily/weekly basis to identify and address any maintenance needs.
  • Perform and/or oversee the inspections of residents units such as move-ins, move-outs, or annuals. 
  • Foster a work environment that promotes energy conservation and continuous improvement of engineering functions.
  • May be required to support community and operational needs, including hosting investor walkthroughs, participating in resident events, installing seasonal décor, and performing basic groundskeeping tasks-such as lawn mowing-when necessary.
  • Maintain regular attendance and highest standards of personal appearance and grooming, in compliance with Brandywine Realty Trust’s standards, as required by the employee handbook.

Supervisory Responsibilities


  • Recruit staff as needed
  • Provide direction and scheduling to porter, handymen, and other building staff. Ensure compliance with policies. 
  • Set goals and objectives for staff. Determine and issue disciplinary actions when required.
  • Supervise the work of outside contractors at the property to ensure compliance with contractual agreements, municipal codes, and safety standards. Works with contractors to minimize impact of work on the resident’s comfort and accessibility.

Competencies & Skills


  • Indoor and outdoor hi-rise maintenance environment consisting of, but not limited to, exposure to moving mechanical parts, heights, toxic or caustic chemicals, pets, and loud noises.
  • Must be able to endure walking, squatting, bending, balancing, climbing, kneeling, crawling and prolonged standing.
  • Vision requirements include both close range and long distance vision.
  • Must be able to lift 50 lbs. independently and assist in lifting weights exceeding 50 lbs.
  • Must be able stand for extended periods of time (4-6 hours per shift) and lift tables, chairs, etc.
  • Must be able to climb ladders and crawl into confined spaces.
  • Must be able to utilize power and hand tools.



Qualifications


  • High School diploma or equivalency (GED) (required).
  • 3-5+ Years of recent hands-on related experience in the property management industry (preferred).
  • 2-3+ Years of Supervisory experience (preferred).
  • Facilities/Operations experience with strong working knowledge of building systems and Philadelphia Local Codes/Laws.
  • Proficiently skilled in plumbing, electrical, mechanical, and basic carpentry/construction (required).
  • Excellent client service, positive, friendly, outgoing, and attentive demeanor.
  • Strong communication skills, interpersonal skills and problem-solving skills.
  • Ability to manage multiple projects and work independently and with others.
  • Strong organizational, time-management, and supervisory skills with attention to detail.
  • Comprehensive knowledge of industry standard Building Management Systems software systems (Entrata and Procore, etc.)
  • Reliable, punctual, and regular in attendance.
  • Philadelphia Engineers License Grade A (preferred but not required)
  • Universal CFC certification (preferred) 
  • Preferred additional certification in three or more of the following: HVAC, electrical, mechanical, HVAC and refrigeration systems, process controls, mechanical power transmissions, painting, plumbing, carpentry or engine repair
  • Certifications/licenses as may be required by local or state jurisdictions. Must be able to respond to emergencies and work 40 hours per week with flexible hours including nights, weekends, and holidays.
  • Fluent in English.
