Educational Qualifications :
• Candidate should be a graduate from recognized university

Professional Experience : 
• Minimum: 2–5 years of relevant administrative or clerical experience in a University, Educational Institution,  
 Government Organization, or reputed Corporate Office. 
• Fresh graduates with excellent computer proficiency may also be considered for entry-level positions.
 

Computer Skills 

· Microsoft Office (Word, Excel, PowerPoint)

· Microsoft Outlook

· Google Workspace (Docs, Sheets, Drive, Calendar)

· Oracle ERP or equivalent ERP/University Management Systems

· Internet and Email Management

· Document Management Systems

· Data Entry and Report Preparation

· PDF editing and document scanning software

 

Key Responsibilities

Administrative Support

  • Perform day-to-day clerical and administrative activities of the University. 
  • Maintain office files, records, registers, and official documents in both physical and digital formats. 
  • Draft and type official letters, notices, circulars, memos, and reports. 
  • Receive, record, and dispatch incoming and outgoing correspondence. 
  • Maintain confidentiality of official records and documents. 


Documentation & Record Management

  • Organize and maintain employee, student, and departmental records. 
  • Update and maintain databases, registers, and filing systems. 
  • Assist in preparing reports, statements, and administrative documentation. 
  • Ensure proper storage and retrieval of official records. 


Office Coordination

  • Coordinate with various Schools, Departments, and administrative offices for routine activities. 
  • Assist in scheduling meetings and maintaining office calendars. 
  • Prepare meeting files and maintain Minutes of Meetings (MoM), wherever required. 
  • Support the organization of university events, meetings, and official functions. 


Data Entry & ERP Operations

  • Perform accurate data entry in Oracle ERP or the University Management System. 
  • Update employee, student, and departmental records in the ERP. 
  • Generate reports and maintain digital records. 
  • Ensure accuracy and completeness of data entered into the system. 


Student & Staff Support

  • Assist students, faculty, staff, and visitors by providing administrative support and information. 
  • Respond to routine inquiries and direct them to the appropriate department. 
  • Facilitate document verification and administrative processes as assigned. 


Office Administration

  • Maintain office stationery, supplies, and inventory records. 
  • Coordinate with vendors and service providers for office-related requirements. 
  • Support document photocopying, scanning, printing, and filing activities. 
  • Ensure proper maintenance of office equipment and report service requirements. 


Compliance

  • Follow University policies, administrative procedures, and office protocols. 
  • Ensure timely completion of assigned administrative tasks. 
  • Maintain confidentiality and accuracy in handling official information.
