Inventory Specialist

Position Summary
The Inventory Specialist is responsible for ensuring accurate inventory control, receiving and inspection of incoming products, and maintaining inventory records within the company’s inventory management system. This role plays a critical part in product quality, inventory accuracy, and operational efficiency by managing receiving processes, monitoring temperature-sensitive products, conducting inventory counts, and resolving inventory discrepancies.
Key Responsibilities
Inventory Receiving & Inspection
- Receive and inspect incoming inventory shipments for accuracy, quality, and completeness.
- Verify quantities against purchase orders, packing slips, and receiving documentation.
- Perform and document temperature checks on incoming temperature-sensitive products to ensure compliance with company and regulatory standards.
- Identify, document, and escalate damaged, expired, or non-conforming products.
- Ensure all received inventory is properly labeled, stored, and entered into inventory systems.
Inventory Management
- Maintain accurate inventory records and transaction history within the inventory management system.
- Coordinate monthly inventory timing and communication in partnership with F&B and Accounting.
- Monitor inventory levels and communicate replenishment needs to management and purchasing teams.
- Investigate and resolve inventory discrepancies, shortages, overages, and system variances.
- Track product movements, transfers, adjustments, and inventory status changes.
- Maintain proper stock rotation practices, including FIFO (First-In, First-Out) procedures
Inventory Counts & Reconciliation
- Own and coordinate the monthly inventory counting process from planning through reconciliation.
- Conduct cycle counts and physical inventory audits to ensure inventory accuracy.
- Analyze count results, identify root causes of variances, and implement corrective actions.
- Prepare inventory reports and provide recommendations to improve inventory control processes.
- Support annual physical inventory activities and external audits as required.
Systems & Documentation
- Utilize inventory management software, ERP systems, and warehouse management systems (WMS) to accurately record inventory transactions.
- Generate and maintain inventory reports, receiving logs, temperature logs, and audit documentation.
- Ensure compliance with company policies and regulatory requirements regarding inventory handling and recordkeeping.
- Assist in developing and improving inventory control procedures and best practices.
Warehouse & Operational Support
- Organize inventory storage areas to maintain efficiency, cleanliness, and product accessibility.
- Coordinate with warehouse, purchasing, quality, and operations teams to support business needs.
- Follow all safety procedures and maintain a safe working environment.
- Support special projects and other inventory-related duties as assigned.
- Deliver packages and products as needed.
- Order products on an as needed basis.
Qualifications
- High school diploma or equivalent required; Associate degree preferred.
- 2+ years of inventory control, warehouse, receiving, or related experience.
- Experience with inventory management systems, ERP platforms, or warehouse management systems (e.g., SAP, Oracle, NetSuite, Microsoft Dynamics, Fishbowl, or similar).
- Experience performing inventory counts, cycle counts, and inventory reconciliations.
- Familiarity with receiving processes and temperature-controlled inventory preferred.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Excel and inventory reporting.
- Ability to lift and move products as required.
- Strong communication, problem-solving, and analytical skills.

- Inventory accuracy rate.

- Inventory shrinkage and discrepancy reduction.
- Compliance with temperature monitoring and receiving procedures.
- Timely resolution of inventory variances.
Physical Requirements
- Ability to stand, walk, bend, and lift throughout the workday.
- Ability to lift up to 50 pounds.
- Ability to work shifts between the hours of 6AM-6PM
- May require work in refrigerated or temperature-controlled environments.
