Role Purpose

Provide efficient administrative, coordination, and communication support to the Senior Management Team (SMT) to enable smooth functioning of leadership priorities, ensure effective time management, and support execution of key business deliverables while maintaining confidentiality and professionalism.

Role Accountability

  1. Manage and optimize the SMT’s calendar, ensuring effective prioritization of meetings and commitments
  2. Ensure smooth day-to-day administrative functioning of SMT office
  3. Coordinate logistics for internal and external meetings
  4. Act as the primary liaison between the SMTs and internal/external stakeholders
  5. Handle confidential information with discretion and maintain data security protocols
  6. Support SMTs in gathering data, insights, and briefing materials
  7. Organize domestic and international travel arrangements, including itineraries and expense management
  8. Monitor deadlines and ensure SMT’s commitments are met without delays
  9. Maintain accurate records, files, and databases for operational and compliance purposes
  10. Represent the SMT’s office with professionalism in all interactions, ensuring a positive organizational image
  11. Coordinate meetings and optimize time utilization
  12. Act as a coordination point between SMT and internal stakeholders
  13. Ensure timely information flow across teams
  14. Provide logistical and administrative support for events
  15. Manage travel bookings, itineraries, and related coordination
  16. Handle expense claims and reimbursement processes
  17. Ensure confidentiality of sensitive business information
  18. Demonstrate strong attention to detail and execution discipline
  19. Build effective working relationships with stakeholders

  2. Effective stakeholder management and relationship building
  3. Confidentiality and professionalism consistently maintained

Technical Skills / Experience / Certifications

  1. Certification in Office Administration / Executive Assistance
  2. Strong organizational and coordination skills
  3. Good written and verbal communication
  4. Attention to detail and time management
  5. Basic stakeholder management skills
  6. Ability to multitask and prioritize effectively

  1. Proficiency in communication (written and verbal).

Qualification

  1. Graduate in any discipline (Management / Commerce / Humanities preferred)
  2. Postgraduate (MBA or equivalent) is an added advantage
  3. Certification in Office Administration / Executive Assistance
