About the Role

Description

The Operations Specialist is responsible for supporting the day-to-day operations by accurately documenting, tracking, and coordinating vehicle and container information throughout the shipping process. This role works closely with the Shipping & Receiving team to ensure operational accuracy, timely data entry, and efficient coordination with shipping lines, carriers, and internal departments. The Operations Specialist reports directly to the Operations Supervisor and Operations Manager.

Requirements

 

Essential Responsibilities

  • Request booking information from shipping lines and accurately enter booking details into the BNI system.
  • Upload Container Condition Reports (CCR) into BNI, including all loading materials used for each container.
  • Request pickup numbers from shipping lines to support daily operations.
  • Coordinate with container carriers and assist with transportation scheduling as directed by the Operations team.
  • Perform and enter vehicle and container inspections into the BNI system, including uploading photographs when required.
  • Accurately enter and maintain vehicle location information in the BNI system.
  • Verify the accuracy and completeness of operational documentation before processing.
  • Communicate with internal departments and external vendors to resolve operational issues and ensure timely shipment processing.
  • Maintain accurate records and support compliance with company procedures and quality standards.
  • Assist with additional operational and administrative tasks as assigned by management.
