Gatherings Coordinator

SCOPE: Provide events project leadership including logistics coordination for the execution of exceptional fundraising and investor events.
ESSENTIAL FUNCTIONS:
- Coordinate the logistics for events including organizing, recording, and tracking activities related to venue, including lodging, food and beverage service, transportation, meeting spaces, and audio-visual components.
- Serve as marketing and communications and outsourcing vendor liaison by collecting design, copy, digital collateral, coordinating stakeholder reviews, managing deadlines, and maintaining an updated reference list of deliverables.
- Coordinate support and fulfillment of all collateral materials and shipments, including data merges and printing as needed.
- Support events team by maintaining team project management system, leading team meetings, and resolving or escalating roadblocks as needed.
- Support Manager, Gatherings or Director, Gatherings with venue-related tasks and projects.
- Provide support with working schedule review and updates as needed.
- Work with Manager, Gatherings or Director, Gatherings to ensure all budgets, payments, and expenses are facilitated and documented.
- Set up and maintain Cvent or other digital platform for website and registration process for each assigned event.
- Prepare materials and event packets for program attendees.
- Coordinate ordering of gifts, giveaways, and materials needed for guests and program attendees.
- Provide onsite leadership for each assigned event and administer closing operations to ensure all procedures are properly coordinated among staff and vendors
SUPERVISORY RESPONSIBILITY:
- No supervision requirements.
OTHER DUTIES:
- Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes, and policies.
- Lead and/or participate in projects or task force groups that focus on issues having organization-wide impact.
- Perform or assist with any assignments as required or directed.
WORK ENVIRONMENT:
This job operates in a professional office environment and event venues. This role routinely uses standard office equipment such as laptop computers and smartphones.
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk, hear, sit, stand, and walk. Kneeling, bending, lifting, standing or sitting for long periods of time, preparing shipments, along with set up/tear down for events.
TRAVEL:
Domestic travel is required. Ability to travel an average of several days per month up to 50%.
QUALIFICATIONS:

- Requires a Bachelor’s Degree with a focus on Public Relations, Communications, or Business, or equivalent relevant experience;
- Requires three to five years of experience in event planning and logistical coordination;
- Strong communication: written, listening, and presenting skills.
- Strong attention to detail and organization.
- Ability to exercise critical thinking and problem-solving skills.
- Ability to lead and coordinate logistics.
- Ability to use judgment to prioritize tasks and exercise strong time-management skills.
- Proficient in the use of InDesign, Microsoft Word, and Excel (data merges, exporting, and printing).
- Proficient in the use of Google Drive, OneDrive, and Dropbox.
- A functional knowledge of Salesforce data management and reporting or a willingness to complete training within 3 months of hire date.
- Cvent event planner certification or a willingness to complete certification within 3 months of hire date.
- A working knowledge of project management software or a willingness to complete training within 3 months of hire date
