War Child is looking for a:
Senior Executive Secretariat Coordinator (32–40 hours)
Drives focus, enables executive decision-making and ensures strategic priorities become meaningful action.

About the role

The Senior Executive Secretariat Coordinator is the operational right hand to the CEO, acting as a force multiplier for executive decision-making for the War Child Alliance Foundation. This role drives the agenda, rigour and follow-through of the International Management Team; strengthens the connection between the CEO, International management team (IMT) and the Supervisory Board; leads or coordinates priority cross-organisational initiatives on the CEO’s behalf, and ensures effective internal communication on key organisational developments. The Sr. Executive Secretariat Coordinator operates with the judgement, discretion and credibility to represent the CEO internally and, where delegated, externally.

What you will do

  • Act as thought partner and trusted advisor to the CEO, providing counsel, challenge and preparation ahead of key decisions
  • Own the cadence, agenda-setting and follow-through of the International Management Team (IMT), ensuring meetings are well prepared, decisions are recorded and actions are tracked to completion
  • Coordinate high-quality preparation of materials, briefings and follow-up for Supervisory Board and Board Committee meetings, working closely with the CEO and relevant IMT members
  • Lead or coordinate priority cross-organisational projects and strategic initiatives delegated by the CEO, from framing through to delivery
  • Maintain an overview of organisation-wide priorities, decisions and interdependencies across departments, ensuring clear ownership and follow-up
  • Manage the Office of the CEO, including oversight of the Executive Officer and coordination of executive support functions
  • Act as a proxy or representative for the CEO in internal meetings and, where delegated, in external engagements
  • Strengthen internal communication and information flow between the CEO/IMT and the wider organisation, supporting transparency and staff engagement
  • Support the effectiveness of the IMT as a team, including input on team culture, meeting design and decision-making processes
  • Prepare briefing notes, talking points and correspondence for high-stakes internal and external engagements led by the CEO

Your profile

Education
  • Relevant postgraduate qualification (e.g. in business administration, public policy, international development, or a related field) or equivalent senior leadership experience is desirable; MBA or similar qualification is an asset.
Experience
  • 8+ years of senior leadership, strategy, business operations or executive-support experience, ideally including experience as a Chief of Staff, strategy/business operations lead, or senior advisor to a CEO or Executive Director
  • Proven track record translating organisational strategy into clear priorities, plans and measurable outcomes
  • Experience coordinating executive, management or governance bodies (e.g. senior leadership team or board secretariat, meeting cadence, decision tracking, terms of reference)
  • Experience leading or coordinating complex, cross-functional projects involving multiple stakeholders and competing priorities
  • Experience working directly with or advising senior/C-suite executives, exercising sound judgement and discretion with confidential information
  • Experience managing or supervising executive support staff
  • Experience working in an international, networked, humanitarian, development, or values-led environment is an asset
Languages
  • Fluency in English is required for this role. 
  • Additional languages may be useful depending on stakeholder groups and organisational context, for example Arabic, Dari, French, Spanish, or Ukrainian
(Technical) Knowledge
  • Strong understanding of organisational strategy, governance structures and executive decision-making processes
  • Ability to synthesise complex information quickly and distil it into clear, actionable recommendations for the CEO and IMT
  • Strong programme/project management skills, able to track multiple work-streams and hold others accountable for delivery
  • Exceptional judgement and discretion in handling confidential and sensitive information
  • Ability to build trusted relationships and influence without formal authority across all levels of the organisation
  • Excellent written and verbal communication skills, including drafting briefings, board papers and correspondence for senior executives
  • Strong organisational and prioritisation skills, able to manage competing demands under time pressure
  • Understanding of the international NGO/humanitarian sector and its governance and accountability frameworks is an asset
