About the Role

Executive Assistant 

Levity Talent (the major management/producing arm of Levity Live) is seeking a dedicated, organized, motivated, detail-oriented, proactive, and resilient Executive Assistant to support Senior Talent Manager. This individual will serve as the operational backbone of the office, managing executive scheduling, contract administration, travel logistics, reporting, expense tracking, and day-to-day administrative operations. 


Job Duties Include:

· Manage Executive complex calendar, appointments, meetings and scheduling requests. 

· Serve as the primary gatekeeper for incoming communications, calls, and correspondence.

· Maintain daily schedules, meeting reminders, and calendar updates. 

· Coordinate client meetings, studio appointments, pickups, and special events. 

· Request, secure, tracks and update contracts and riders. 

· Maintain organized contract files and documentation systems. 

· Review and maintain internal scheduling grids and reporting trackers. 

· Track settlements, finals, commissions, and payment-related expenses 

· Coordinate executive and client travel arrangements along with itineraries. 

· Conduct research projects and provide operational support for special initiatives.

· Maintain accurate records, database, and filing systems. 

· Interact professionally with high-profile clients, agents, managers, promoters, and venue partners. 

· Identify workflow issues and proactively escalate concerns when necessary. 


Minimum qualifications:

· 3+ years of Executive Assistant, Talent Assistant, Agency Assistant, or Entertainment Administration experience.

· Exceptional organization, multitasking and time management skills.

· Advanced proficiency in Microsoft Outlook, Excel, Word, and PowerPoint 

· Strong written and verbal communication skills.

· Ability to manage confidential information with professionalism and discretion. 

· High attention to detail and strong follow through

· Ability to thrive in a fast-paced, deadline-driven environment

· Passion for comedy, entertainment, and talent management preferred. 


Preferred Experience:

· Talent Management, agency, production company, live entertainment, or comedy industry experience.

· Experience working with contracts, riders, settlements, and financial reporting
