Payroll Coordinator

Description
The primary duties of the Payroll Coordinator, under the supervision of the Director of People & Culture, will be to prepare semi-monthly payrolls, complete required reports, compiles payroll information and maintain required records
Requirements
- At least 2 years of payroll processing experience in union environment.
- Applicants must have 3 years of experience processing payroll for a small-medium sized organization or a bachelor’s degree in accounting and 2 years of managing/processing payroll for a small-medium sized organization.
- Experience with Paycom is a MUST
- Advanced proficiency in Microsoft Excel, including the ability to create and analyze spreadsheets using formulas, pivot tables, lookups (VLOOKUP/XLOOKUP), filters, sorting, and data validation.
- Knowledge of the Fair Labor & Standards Act.
- CA Payroll Law experience required.
- Maintain compliance with Federal and State wage and hour laws.
- Must be detail orientated.
- Must be able to work independently and as a team player company wide.
- Must be self-driven and organized.
KEY RESPONSIBILITIES
- Train employees and supervisors on use of automated timekeeping process.
- Assist in bi-weekly payroll processing
- Run payroll reports for each pay period and as requested.
- Calculate and input data from manual timecards for the youth program into Paycom.
- Ensure all time corrections are accompanied by appropriate authorization forms (e.g. punch edit request)
- Ensure any Payroll compensation changes have the appropriate approvals.
- Manage and update Paycom earning and deduction codes, payroll groups, time and labor supervisor groups, etc. as needed.
- Process final checks for terms and salary adjustments.
- Prepare payroll and benefit journal entries for accounting.
- Enter garnishments and keep impeccable records.
- Prepare Union dues report and enter request in the invoice management system for payment after each payroll.
- Prepare payroll reporting for programs – e.g. GAIN contract reports, etc.
- Maintain Health, Dental, Vision, STD, LTD and life insurance premiums schedules.
- Reconcile Paycom vacation and sick to Accounting GL balances vacation and sick schedules.
- Collaborate with department directors to ensure titles/positions, programs/grants, location, and allocations are accurate prior to each payroll.
- Contract review audits, Annual agency audit, worker’s compensation audit and Form 5500 audit
- Any other duties as assigned.

Specific visual abilities include close vision, color vision, depth perception, and the ability to adjust focus. Must be able to visually inspect work. Manual dexterity to operate computer and other office equipment required.
