Description
Position Summary/Objective
Office Administrator will coordinate office activities and operations while providing administrative support to management and Human Resources.
8:30am - 5pm, Monday to Friday
$23/hr - $27/hr
Essential Functions & Responsibilities:
- Greet and welcome visitors, projecting a professional and hospitable image.
- Manage the central phone system, efficiently answering, screening, and routing calls.
- Address and resolve inquiries from customers and the general public accurately.
- Administer the office phone system and serve as the main point of contact for our external IT support vendor.
- Set up employee equipment, ensuring new hires receive necessary building access, phone configurations, and hardware.
- Maintain optimum inventory levels for office and breakroom supplies, handles reordering proactively.
- Oversee the daily logistics for all incoming and outgoing mail and packages (UPS, FedEx, USPS).
- Facilitate the maintenance, troubleshooting, and purchasing of office equipment.
- Partner with the HR team to deliver seamless administrative assistance and project support.
- Organize and safeguard confidential data, sensitive files, and complex corporate documentation.
- Maintain regular, reliable, and consistent attendance.
- Execute other operational duties assigned to support business continuity.
Requirements

- Project a polished, calm, and reliable demeanor as a representative of the company.
- Demonstrate exceptional precision in data management, physical filing, documentation, and routine office workflows.
- Prioritize critical workflow demands, manage daily deadlines, and balance multiple assignments simultaneously.
- Utilize sound judgment and critical thinking to independently resolve everyday workplace bottlenecks and scheduling issues.
- Collaborate and communicate effectively with individuals across all levels of the organization, from entry-level staff to senior executives.
- Address external inquiries from vendors, customers, and the general public with clarity, patience, and accuracy.
- Advanced, hands-on proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
Education & Experience
- AS degree preferred.
- 2-3 Years of Executive Administration / HR experience.
- Demonstrated experience in continuous improvement preferred.
