Executive Assistant

Our Role:
As Executive Assistant to the Chief Executive Community, you'll provide high-level support to help drive RACQ's Community strategy, working closely with senior leaders to coordinate priorities, communications and key business activities.
This is a permanent part-time opportunity (20 hours per week) based onsite at our Eight Mile Plains Head Office. With a preferred schedule of school hours across four days per week, this role is ideal for an experienced Executive Assistant seeking flexibility in a fast-paced and rewarding environment.
From managing complex executive schedules and coordinating Board and Executive Leadership Team (ELT) papers, to supporting Leadership Forums, Town Halls and team engagement activities, you'll be at the centre of helping our Community function achieve meaningful outcomes for Queensland communities.
Your responsibilities include:
Provide proactive, high-level executive support to the Chief Executive Community, managing complex diaries, meetings and competing priorities with exceptional attention to detail.
Oversee and coordinate executive inbox management, ensuring correspondence and actions are prioritised and completed in a timely manner.
Coordinate, prepare and track Board, Committee and ELT papers, ensuring reporting deadlines and governance requirements are met.
Prepare agendas, take minutes and monitor actions arising from leadership meetings.
Coordinate leadership reporting, presentations, briefing papers and key business documentation.
Manage travel arrangements and meeting logistics, including venues, catering and stakeholder communications.
Process invoices, supplier creation, expenses and monthly reconciliations.
Maintain SharePoint and Teams sites, ensuring documents, templates and reporting records remain current and accessible.
About You

To be successful in this role, you will possess:
Demonstrated experience supporting senior executives, preferably at Executive Leadership Team or C-suite level.
A minimum of 5+ years' experience in Executive Assistant, Executive Support or senior administration roles.
Experience coordinating Board, Committee and executive reporting processes.
Exceptional diary and inbox management skills, with the ability to balance multiple priorities and changing demands.
Strong communication skills, with the confidence to engage with stakeholders at all levels, including senior leaders and Board members.
Proven experience preparing agendas, minutes, reports, presentations and business communications.
Excellent organisational and problem-solving skills, with the ability to work autonomously and exercise sound judgement.
Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, Teams and SharePoint.
A collaborative and adaptable approach, with a commitment to maintaining confidentiality and professionalism.
