Position Summary

The Head Receptionist serves as the first point of contact for our facility and plays a vital role in creating a welcoming, organized, and secure environment. This position oversees front desk operations, supports administrative functions, and ensures exceptional customer service for residents, families, visitors, and staff.


Key Responsibilities

  • Greet and assist residents, families, visitors, and vendors with professionalism and courtesy
  • Supervise and support reception staff, including scheduling and training
  • Manage incoming calls, emails, and correspondence; route inquiries appropriately
  • Maintain visitor logs and support facility security procedures
  • Coordinate front desk operations to ensure smooth daily workflow
  • Assist with administrative tasks such as filing, data entry, and record maintenance
  • Collaborate with nursing, administrative, and leadership teams as needed
  • Handle sensitive information with discretion and confidentiality

Requirements

  • Successful candidates will have a minimum of a high school diploma, as well as experience in clerical office activities.  
  • Proficiency in the use of general office equipment and working knowledge of Microsoft Outlook, Word and Excel are required. 
  • Must be organized, confident in handling complex situations, flexible and able to maintain strict confidentiality.
  • Attention to detail, good communication both writing and verbal, ability to multi-task and critical thinking skills are essential.
  • Requires proficiency in spoken and written English.
  • Ability to understand and respond to residents’ needs and inquiries in English is required.
  • Ability to effectively understand and communicate verbally and in writing, in English, is required.
  • Basic computer skills
