About the Role

The Role

 

This position will oversee the daily upkeep of common areas, manage vendor relationships for site services, procurement and ensure the facility adheres to all statutory and safety regulations.

Job Responsibilities

 

  • Key personnel on site to ensure the provision of building services meet the required standards and expenses kept within budget.
  • Oversee Common Area Maintenance (CAM) & facility operations through routine inspections, proper vendor management and utility management.
  • Ensure the facility maintains valid licenses for fire safety (NOC), electrical systems, pollution control, and land use.
  • Implement and monitor safety protocols across the site.
  • Develop and establish good communication and relationship with tenants and vendors.
  • Identify and onboard reliable vendors for facility services, specialized equipment and construction materials as per company procurement manual.
  • Address tenant complaints regarding shared facilities and ensure their operations do not violate lease terms or safety codes.
  • Assist in preparing the annual opex/capex budget and track expenditures against the budget to ensure cost-efficiency for the landlord.
  • Coordinate and carry out improvement and upgrading works to the building or systems in response to tenant’s requirements.
  • Enforce and monitor various work programs to maintain smooth and efficient operations and ensure that SOPs are adhered to.
  • Manage ad-hoc projects such as improvement and upgrading works to building infrastructure and systems; and provide input on the requirements to ensure maintainability and operational needs are met.
  • Prepare and collate information for monthly management reporting and provide analysis on variances of the expenses.
  • Participate in the preparation of the annual budget.

Job Requirements

 

  • Degree in Building / Real Estate / Facilities Management or a related Engineering discipline.
  • At least 5 to 7 years of relevant experiences and knowledge of all phases of property management, as well as procurement of property management services.
  • Possess sound knowledge of building M&E systems, with experiences in monitoring Building Management Systems (BMS) and Building Automation Systems (BAS).
  • Proficient in MS Office Applications (Word, PowerPoint and Excel). Experience working with SAP will be an added advantage.
  • Excellent team player with strong communication skills and good computer literacy.
  • Ability to be ready 24/7 and to manage operations and projects simultaneously in a fast-paced environment.
