Transport Administration Coordinator

Role purpose.
To provide accurate reporting, data monitoring, and administrative support to the Head of Operations and Transport Management Team.
The role will focus on producing structured transport reports, monitoring key people and performance metrics, and supporting compliance tracking to improve operational visibility and reduce risk.
This position supports management decision making by ensuring transport data is accurate, organised, and consistently reported.
Key Responsibilities
Transport Reporting & Data Management
- Produce daily and weekly transport performance reports.
- Maintain KPI spreadsheets & Systems covering:
- On-time delivery
- Overtime hours
- Agency usage
- Fuel usage
- Mileage tracking
- Support the administration and day-to-day monitoring of the company’s vehicle tracking and telematics systems.
- Run regular reports covering vehicle location, route adherence, idling time, speeding events, and driving behaviour metrics.
- Update and maintain reporting templates.
- Check data accuracy and correct input errors.
- Support monthly performance pack preparation.
Attendance & Workforce Monitoring
- Track and maintain records of:
- Sickness absence
- Holidays
- Overtime hours
- Agency driver usage
- Produce summary reports highlighting trends for management review.
- Support forward visibility of holiday bookings and staffing impact.
- Ensure absence and holiday data is accurately recorded in systems.
Compliance & Documentation Support
- Ensure transport paperwork is completed and filed correctly.
- Support monitoring of:
- Driver hours (WTD records)
- Tachograph uploads (where applicable)
- Fleet service schedules
- Flag missing or incomplete documentation to the Transport Manager.
- Maintain organised audit trails and electronic records.
Fleet & Operational Administration
- Input journey data including mileage, fuel and delivery times.
- Assist in monitoring VOR and service board updates.
- Support fuel data tracking and reporting.
- Provide general administrative support to the Transport team.
Cross-Department Coordination
- Liaise with warehouse and planning teams to confirm reporting data.
- Assist with driver hours & agency hours collation for payroll validation.
- Support responses to store or internal delivery queries where required.
Essential Skills & Experience
- Experience in transport, logistics or administrative role.
- Strong Excel skills (pivot tables, basic formulas, data filtering).
- High attention to detail and data accuracy.
- Comfortable handling numerical data and reports.
- Good communication skills.
- Organised and able to prioritise workload.
Desirable
- Knowledge of transport or fleet systems.
- Experience with WTD or tachograph records.
- Exposure to KPI reporting environments.
