Job Description
We are seeking an exceptionally experienced Senior Documents Control Manager to join our team in Makkah, Saudi Arabia. In this strategic leadership role, you will oversee all aspects of document management, control, and compliance within our organisation. Drawing on 15+ years of professional expertise, you will lead a high-performing team dedicated to maintaining the integrity, accessibility, and security of critical organisational documents whilst ensuring adherence to regulatory requirements, international best practices, and emerging governance standards.
- Develop, implement, and maintain comprehensive document control policies, procedures, and systems to ensure organisational compliance, operational efficiency, and alignment with strategic objectives
- Provide strategic leadership and mentorship to the documents control team, fostering professional development, driving performance excellence, and building capability for succession planning
- Manage the complete document lifecycle including creation, review, approval, distribution, storage, retrieval, archival, and secure disposal in accordance with retention schedules
- Establish and enforce document naming conventions, version control protocols, and change management procedures across the organisation, ensuring consistency and compliance
- Conduct comprehensive audits and quality assurance reviews to verify compliance with document control standards, identify improvement opportunities, and mitigate organisational risks
- Analyse document management workflows and recommend strategic process improvements to enhance efficiency, reduce operational risks, and support organisational growth
- Ensure all documents meet regulatory, legal, and organisational requirements through systematic review, validation, and governance oversight
- Maintain and optimise document management systems and databases, ensuring data integrity, accessibility, and alignment with technological advancements
- Generate strategic reports on document control metrics, compliance status, team performance, and governance trends for senior management and stakeholder review
- Collaborate with cross-functional departments and senior leadership to understand evolving document requirements and provide tailored, strategic solutions
- Design and deliver comprehensive training and development programmes on document control procedures, system usage, compliance obligations, and information governance best practices
- Manage document retention schedules, oversee secure disposal of obsolete records, and ensure compliance with data protection and archival regulations
- Advise senior management on information governance strategy, regulatory compliance frameworks, and emerging industry standards to support organisational decision-making
Qualifications
- Minimum 15+ years of extensive professional experience in document control, records management, information governance, or related senior administrative functions
- Proven track record of successfully leading, developing, and managing large-scale documents control teams or similar administrative departments
- Expert-level proficiency with enterprise document management systems, content management platforms, and advanced database technologies
- Comprehensive knowledge of document control standards, international best practices, regulatory compliance frameworks, and information governance principles
- Demonstrated strategic expertise in process improvement, workflow optimisation, operational analysis, and change management implementation
- Exceptional organisational and time management capabilities with proven ability to manage complex, multi-faceted priorities simultaneously
- Meticulous attention to detail with a strong quality assurance mindset and commitment to operational excellence
- Advanced proficiency in database management, data architecture, and sophisticated data organisation techniques
- Expert-level skills in Microsoft Office Suite and extensive experience with specialised document control and enterprise content management software
- Fluent written and verbal communication skills in English; Arabic language proficiency is preferred
- Demonstrated ability to design, develop, and deliver comprehensive training programmes to diverse organisational audiences
- Advanced knowledge of information governance, data security protocols, confidentiality frameworks, and regulatory compliance requirements
- Extensive project management experience with proven expertise in change management methodologies and strategic implementation
- Established ability to collaborate effectively across all organisational levels and departments, building strong cross-functional relationships
- Advanced analytical and strategic problem-solving capabilities with demonstrated ability to identify and resolve complex operational challenges
- Professional certification in records management, information governance, or document control (e.g., ARMA, ICRM) is highly desirable
