POSITION OVERVIEW


The mission of Mary Hall Freedom Village, Inc. (MHFV) is to empower women, children, veterans, and families to end the cycle of homelessness, addiction, and poverty. Under the supervision of the Chief Financial Officer and Fiscal Director, and in compliance with Generally Accepted Accounting Practices, this position plans and directs accounting activities within the agency’s Administration Department, either personally or through support staff

Requirements


ESSENTIAL JOB RESPONSIBILITIES


• Coordinate grant lifecycle activities including submission support, reporting preparation, and post-award documentation.

• Maintain and monitor the grant calendar to ensure all deadlines are tracked and met.

• Assist in preparing proposals, budgets, supporting documentation, and compliance materials.

• Support preparation and submission of progress reports, performance metrics, and financial reports.

• Track grant expenditures and reconcile with approved budgets in collaboration with finance staff.

• Ensure documentation aligns with federal Uniform Guidance (2 CFR Part 200), state regulations, and private funder requirements.

• Maintain organized electronic and physical grant files for audit readiness.

• Assist in monitoring subrecipient or contractor compliance when applicable.

• Provide administrative support for funder communication and stewardship.


QUALIFICATIONS


• Bachelor’s degree in Nonprofit Management, Business, Public Administration, Communications, or related field preferred.

• 2–3 years of experience in grants coordination, compliance, finance support, or nonprofit administration.

• Experience supporting federal, state, or foundation-funded programs preferred.

• Familiarity with government grant compliance and reporting standards.

• Experience with compliance monitoring and reporting for government and private grants.


SUPERVISORY RESPONSIBILITIES


• This position does not have direct supervisory responsibilities.

• May provide guidance to interns, assistants, or program staff regarding invoice submissions and documentation.


REQUIRED SKILLS, CAPABILITIES, AND KNOWLEDGE


• Strong organizational skills with the ability to manage multiple deadlines simultaneously.

• Knowledge of grant compliance regulations and reporting requirements (federal, state, and private).

• Ability to analyze program data and translate it into measurable outcomes for funders.

• Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and grants management systems.

• Collaborative mindset with the ability to work effectively across departments.


EMPLOYMENT REQUIREMENTS AND EXPECTATIONS


• 3-Year Motor Vehicle Report

• TB Test; Drug Testing

• Background Check

• Work performed in an office environment

• Standard Work Schedule: 8:00 AM – 5:00 PM, Monday–Friday

• Occasional evenings or weekends for grant deadlines, events, or funder meetings may be required
