CHCA is seeking a full-time Practice Office Manager to join our Skilled Nursing Facility Practice team at our Fair Oaks office. As Office Manager, you will provide vital administrative support for our operations within Skilled Nursing Facilities (SNFs). You will supervise and oversee the administrative staff and day to day operations and ensure good business practices while healthcare professionals focus on providing healthcare. This is a fast-paced environment with a strong commitment to excellence, where attention to detail, adaptability, and a proactive attitude are essential for success.

Key Responsibilities:

  • Implement organization policies and procedures 
  • Liaise with providers, administrators to resolve any issues in conjunction with the advice of Regional Director and Medical Director 
  • Coordinate provider schedules, allocation of resources with input from Regional Director and appropriate clinical staff (ie Lead providers).  
  • Schedule interviews of new providers with providers & other staff as needed, after conducting screening  
  • Billing/charting compliance review and analysis 
  • Assist with Physician Payments and Provider Bonuses 
  • Supervise and /or manage staff 
  • Maintain records of QA and QM activities 
  • Liaise with healthcare professionals to identify dysfunctions 
  • Managing internal and external communication, answering queries about the services 
  • Supervise the completion of compliance related tasks, such as the call log and timely completion of provider documentation per Title 22 guidelines.  

Lead the team to provide:

  • Provider Appointment Coordination: Coordinate appointments for specialty providers (dental, podiatry, mental health, etc) with facilities. Ensure all patients are scheduled and seen within Title 22 Regulations. Ensure all patient services and billing information is collected and submitted timely and accurately.
  • Administrative Support: Efficiently manage data entry, prepare reports, and process invoices.
  • Communication: Professionally handle incoming calls, respond to information requests, and liaise with clients as required.
  • Records Management: Verify, file, and maintain medical records electronically, ensuring accuracy and confidentiality.
  • Documentation: Draft and type correspondence, process death certificates, distribute documents, and maintain organized filing systems.
  • Software Use: Work across various systems, including Point Click Care, eCW, Excel, and Word.
  • Compliance: Adhere to appropriate legal, ethical, and professional standards in all interactions and documentation.
  • Miscellaneous Duties: Take on additional tasks or responsibilities as assigned to support the smooth running of the practice.

Requirements

Qualifications:

  • 5-7 years of related medical office experience
  • 3-4 years supervisory or management experience
  • skilled nursing facility experience preferred
  • College degree preferred, high school or equivalent required
  • Familiarity with medical and dental terminology and EHR systems (eCW preferred)
  • Experience with medical billing/coding/documentation preferred
  • knowledgable of HIPAA regulations
  • respectful of cultural and religious practices of patients 
  • Punctual and dependable 
  • Current BLS
  • Valid driver's license with automobile insurance
