POSITION OVERVIEW:
The Receptionist is the first point of contact for our customers, providing exceptional service and support while managing office operations. The receptionist plays a vital role in enhancing our customer experience and supporting our mission of excellence. 

RESPONSIBILITIES AND DUTIES:

· Front Desk & Visitor Management

o Greet and welcome visitors in a professional and courteous manner

o Determine the nature of visitors’ business and direct them to the appropriate person or department

o Maintain visitor logs, issue visitor badges, and follow security protocols

· Telephone & Communication Management

o Answer, screen, and route incoming calls promptly and courteously

o Take accurate messages and deliver them in a timely manner

o Provide basic information to callers regarding company products, services, and procedures

· Administrative & Clerical Support

o Maintain a clean, organized, and professional reception area

o Receive, sort, and distribute incoming mail, packages, and deliveries

o Prepare and send outgoing mail and packages

o Assist with basic data entry, filing, copying, scanning, and document preparation

o Provide general administrative support to other departments as needed

o Perform special projects and other related duties as assigned by management

· Scheduling & Coordination

o Manage conference room reservations and assist with meeting arrangements

o Schedule appointments and maintain calendars for designated staff or departments

· Office Support, Supplies & Cleaning

o Monitor and order office supplies for the front desk and common areas

o Coordinate with vendors for office equipment maintenance as needed

o Perform light office cleaning duties, including the reception area, breakroom, and restroom facilities to ensure a neat and sanitary environment

· Compliance & Confidentiality

o Follow all company policies and procedures, including safety and security protocols

o Handle confidential or sensitive information with discretion

· HR Assistance & Employee Engagement Support

o Provide administrative support to the Human Resources department with routine HR tasks and projects

o Assist with maintaining employee records, including filing, scanning, and organizing HR documentation in accordance with company confidentiality and record-retention requirements

o Support onboarding logistics for new hires, including preparing welcome materials, coordinating orientation schedules, and ensuring required documentation is collected

o Assist with uploading employee information within HR systems as directed by HR leadership

o Support internal communications by distributing HR announcements, notices, and company updates to employees as directed

o Provide basic assistance with employee requests and direct employees to appropriate HR resources or personnel when needed

o Assist with maintaining the employee recognition platform (Awardco) by updating employee user accounts and ensuring accurate employee access

o Post company announcements, recognition campaigns, and HR communications to the Awardco platform as directed by HR leadership

o Run and export basic reports from the Awardco platform to support HR reporting and engagement tracking

o Provide logistical support for employee engagement initiatives, recognition events, and company celebrations

o Perform other HR administrative duties as assigned by HR leadership

QUALIFICATIONS:

· Strong verbal and written communication skills

· Excellent organization and time management skills

· Proficiency with office software (e.g., Microsoft Office Suite) and multi-line phone systems

· Ability to work independently and manage multiple priorities

· Commitment to confidentiality and discretion in handling sensitive information

REQUIREMENTS:

· Current, valid California Driver’s License and clean driving record (Driving is an essential function of this position)

COMPENSATION:

· This position is an hourly, non-exempt position, eligible for overtime. The starting base hourly rate of this position is expected to be from $16.90/hour to $22.00/hour. Exact hourly rate will be based upon several factors, including but not limited to work location, experience, education or certification, licensure, etc.

BENEFITS:

· In addition to the base hourly wage, this position’s compensation package includes the following benefits: Paid Time Off (Paid Sick Leave, Vacation, Paid Bereavement Leave, Paid Holidays). Waiting periods may apply.

PHYSICAL DEMANDS:

· Ability to remain in a stationary position for extended periods while operating a computer and telephone

· Ability to move about the office to access files, supplies, and equipment

· Ability to lift and carry up to 20 pounds occasionally (e.g., office supplies, packages)

· Ability to bend, reach, and perform light cleaning duties in assigned areas

· Visual acuity to read documents, computer screens, and visitor identification

· Auditory ability to hear and respond to phone calls and verbal communications.
