Position Summary:

The Assistant Clinic Manager supports the Clinic Manager in overseeing the daily operations of the aesthetics clinic, ensuring efficiency, compliance, and an exceptional patient experience. This role bridges hands-on operational responsibilities with leadership support, serving as a key resource for Guest Service Coordinators (GSCs), providers, and patients. The Assistant Clinic Manager acts as second-in-command, stepping into leadership responsibilities in the Clinic Manager’s absence and helping to drive performance, culture, and growth.

Job Responsibilities:

Operational Support & Oversight

  • Assist in managing daily clinic operations, including scheduling, patient flow, and front desk performance.
  • Ensure policies, procedures, and compliance standards are consistently upheld.
  • Support inventory management, ordering, and reconciliation.
  • Assist with cash handling, reporting processes, and use of clinic management software.
  • Conduct daily walkthroughs for cleanliness, safety, and operational readiness.

Team Leadership & Development

  • Provide real-time coaching and support to Guest Service Coordinators.
  • Assist with onboarding, training, and peer development initiatives.
  • Partner with the Clinic Manager to run team meetings and performance reviews.
  • Step in to supervise staff scheduling and coverage when needed.
  • Foster a positive, professional, and growth-oriented culture.

Patient Experience

  • Ensure exceptional service standards are delivered at every touchpoint.
  • Support patient concern resolution in a professional, empathetic manner.
  • Champion initiatives to improve rebooking rates, reviews, and referral growth.

Business & Growth Support

  • Assist in monitoring and reporting on key clinic KPIs (revenue, margin, patient satisfaction).
  • Support execution of marketing campaigns and promotions.
  • Identify opportunities for operational improvements and share recommendations with leadership.
  • May perform other duties as assigned.

Skills and Qualifications:

  • High School Diploma required; Associate’s or Bachelor’s degree preferred.
  • 2+ years of leadership or supervisory experience in customer service, hospitality, or healthcare; aesthetics experience a plus.
  • Strong interpersonal, communication, and organizational skills.
  • Proficiency with clinic management systems and Microsoft Office Suite.
  • Ability to coach, motivate, and support team members.
  • Solutions-oriented thinker with strong problem-solving skills.
  • Passion for aesthetics and delivering luxury client experiences.
