Job Purpose

The Fleet Manager is responsible for overseeing the daily operations, maintenance, safety, and lifecycle management of Serving Seniors’ vehicle fleet.  This role will lead efforts to rebuild and modernize fleet systems, ensuring vehicles are safe, reliable, and cost-effective to support the delivery of over 1.5 million meals annually.

The Fleet Manager will implement preventive maintenance programs, establish fleet management systems and policies, oversee vendor relationships, and improve operational efficiency across the fleet.  This position requires a proactive, hands-on leader capable of bringing structure, accountability, and operational excellence to a critical program function.

This role works closely with Nutrition leadership, drivers, and operations staff to ensure vehicles are available, compliant, and ready to support meal delivery services throughout San Diego County.

Established in 1970, Serving Seniors helps San Diego County’s low-income seniors overcome poverty through whole-person, wraparound support including meals, housing, health and social services, and enrichment activities. We work at numerous sites across the county and in the homes of hundreds of homebound seniors. Our flagship Gary & Mary West Senior Wellness Center in downtown San Diego is unlike any other senior center in the nation. Bringing together a range of supportive services under one roof, the Senior Wellness Center operates 365 days a year and offers two floors of integrated care, including health and social services, housing navigation, enrichment activities, lifelong learning, a Cyber Café and linkage to over 25 onsite direct service partners, including a senior dental center. Last fiscal year, we provided over 1,400,000 meals and coordinated services to 6,800 older adults.

Key Responsibilities

Fleet Operations

  • Manage daily operations of the organization's fleet of approximately 40 vehicles.
  • Ensure vehicles are safe, operational and available to support home-delivered meal routes and program transportation needs.
  • Monitor vehicle utilization, downtime, and operational performance.
  • Coordinate vehicle assignments and decommissioning as needed fleet maintenance and repairs
  • Establish and manage a preventive maintenance program for all vehicles.
  • Schedule and track routine maintenance, inspections, and repairs 
  • Work with external repair vendors and mechanics to ensure timely and cost-effective service
  • Maintain accurate records of maintenance, repairs, and service histories for all vehicles 
  • Fleet Systems and Infrastructure
  • · Implement and manage a fleet management tracking system for maintenance schedules, mileage, fuel usage, and performance metrics.
  • · Develop and update fleet policies, procedures, and documentation to ensure consistent operations.
  • · Create systems for tracking maintenance costs, repair histories, and vehicle replacement planning.

Fleet Modernization

  • · Assess the current fleet and develop recommendations for vehicle replacement, repair prioritization, and long-term fleet planning.
  • · Support initiatives toward more sustainable and efficient vehicles, including electric vehicles when appropriate.
  • · Coordinate vehicle procurement, upfitting, and decommissioning.

Compliance and Safety

  • · Ensure compliance with all safety regulations, inspections, and licensing requirements.
  • · Implement driver safety standards related to vehicle use and reporting issues.
  • · Investigate vehicle incidents, coordinate repairs and documentation findings thoroughly.

Budget and Vendor Management

  • · Monitor and control fleet maintenance and repair expenses.
  • · Identify and implement cost-saving opportunities related to maintenance, fuel usage, and vendor services.
  • · Manage relationships with maintenance providers, dealerships, and equipment vendors.

Operational Collaboration

  • · Collaborate with Nutrition Services leadership to ensure fleet operations support meal delivery schedules.
  • · Coordinate with route supervisors and drivers regarding vehicle issues and maintenance needs.
  • · Provide guidance and training to drivers on basic vehicle care and safety procedures.

Education and Experience

  • · Bachelor’s degree in related field or an equivalent combination of education and experience.
  • · 5–7 years of experience in fleet management, transportation logistics, or vehicle operations.
  • · Experience managing vehicle maintenance programs and vendor relationships.
  • · Experience implementing operational systems, tracking tools, or fleet management software is preferred.
  • · Experience in nonprofit, delivery, or logistics environments preferred.
  • · Experience in fleet modernization.

Knowledge, Skills, and Abilities

  • · Strong organizational and problem-solving skills.
  • · Ability to develop and implement systems and processes where none currently exist.
  • · Knowledge of vehicle maintenance, safety standards, and fleet operations.
  • · Ability to analyze maintenance costs and recommend operational improvements.
  • · Proficiency with Microsoft Office, especially Excel.
  • · Strong communication skills and ability to collaborate with drivers, vendors, and leadership teams.
  • · Ability to prioritize multiple tasks s and respond efficiently to operational issues.

Working Conditions

  • · Onsite position based in San Diego.
  • · Regular interaction with vehicles, drivers, and maintenance vendors.
  • · May occasionally lift up to 30 pounds and conduct vehicle inspections.
  • · Frequently inspecting vehicles and transportation between repair shops and organization’s location.

  

Pay: $72k - 75k yr.
