Full Time | Onsite | Administrative Year-Round Position
Hours: Monday – Friday, flexible 40-hour schedule that includes after school games, sometimes until 7pm
Start Date: August 3, 2026
Starting Salary: $68,000 - $90,000 (commensurate with education and experience)

About Your Role
- You have exceptional organizational and time management skills with a proven ability to manage multiple programs simultaneously and maintain high-quality results in a fast-paced school environment.
- You demonstrate agility and problem-solving skills, with the ability to remain flexible and pivot quickly as program needs, schedules, or priorities shift.
- You have experience working with youth athletics, school-based programs, and/or coordinating extracurricular enrichment programming.
- You possess excellent communication and relationship-building abilities, with the skill to work collaboratively with K-8 students, families, faculty, and external partners.
- You exhibit demonstrated leadership skills paired with a consistently positive, productive, and professional attitude.
- You demonstrate a high degree of autonomy and reliability, showing the self-motivation to manage independent projects and the dependability to ensure all programs and events run smoothly without constant supervision.

What You’ll Do
- Athletics Leadership & Coaching Management: Lead the strategic direction of the K–8 athletics program to foster sportsmanship and student leadership. You will recruit, hire, and onboard all athletic coaches—including parent volunteers and other coaches—while providing clear expectations and ongoing mentorship.
- Athletic Operations & Game Day Management: Coordinate all game and practice schedules, facility reservations, and official assignments. You will manage the procurement and tracking of equipment and uniforms, ensure all programs follow safety protocols, and supervise home competitions to ensure they are organized, safe and secure.
- Data & Compliance: Maintain accurate student participation metrics, rosters, and eligibility records while ensuring all programs meet league-mandated requirements.
- Extracurricular & Summer Program Oversight: Oversee the execution of all non-athletic extracurricular offerings and serve as the primary liaison for summer camp vendors. This includes managing contracts, verifying vendor insurance and background check compliance, and identifying opportunities to expand programs based on student interest.
- Administrative & Financial Oversight: Support billing and stipend calculations, maintain registration records, and coordinate facility scheduling for all enrichment offerings.
- Stakeholder Engagement & Communication: Serve as the primary point of contact for families regarding athletics and extracurricular schedules, logistics, and program updates. You will maintain a visible presence during the school day and at after-school events to build strong relationships with student-athletes.
- Professional Representation: Represent Aspen Academy at league meetings and within professional athletic associations to stay aligned with industry standards.

Requirements
What You’ll Need to Get the Job Done
- Required: Bachelor’s degree or relevant professional experience (Sports Management or Education Administration preferred).
- Athletic Expertise: 3+ years of experience in youth or school-based athletics, including 2+ years specifically with K-8 or ages 5-14.
- Program Management: 2+ years overseeing extracurricular or summer programming, including vendor management.
- Exceptional organization, project management and communication skills; agility in problem-solving; and successful management of multiple priorities in a fast-paced, dynamic environment.
- Preferred Certifications: RAA or CAA (NIAAA); CPR/First Aid; Concussion recognition training.
- Required: Ability to work a flexible schedule (including evenings until 7:00 PM).
- Proficient use of Google Suite.

Operational Schedule & Onsite Expectations
This position operates on a flexible 40-hour work schedule. During the academic year, work hours will adjust throughout the week based on program needs, including: early athletic practices, afternoon extracurricular program supervision, evening athletic competitions, and occasional weekend events.
During the academic year, regular onsite expectations include: presence during the school day to support athletics leadership, onsite afterschool for extracurricular program oversight and home athletic competitions, which may extend to approximately 7:00 PM. Work hours may shift earlier or later on game days to maintain a sustainable weekly schedule. During the summer months, regular onsite expectations include: presence during standard school hours to support onsite vendor summer programming.
