You will contribute to the smooth execution of people, financial, and business operations by managing logistics, communications, reporting, and department coordination. Essential Functions and Principal Accountabilities:
- Provide administrative support to Human Resources, Finance/Accounting, and Pricing/Underwriting teams ensuring efficient execution of programs and initiatives.
- Coordinate meetings, training and events across supported departments, including scheduling, room or venue booking, materials coordination, virtual meeting set-up, catering arrangements, and onsite logistics.
- Assist with data gathering and report preparation, as needed, including benefits, FTE, and wellness reporting.
- Perform monthly credit card reconciliations and assist with invoice processing in accordance with established procedures.
- Assist with the vendor management process, including coordination, documentation, and communication support.
- Support budgeting and financial planning activities by coordinating meetings, preparing materials, and assisting with data collection or report distribution.
- Assist accounting team with required mailings and check processing.
- Assist with preparation and organization of documentation related to audits, and compliance activities.
- Monitor and manage the HR, Accounting email inboxes, responding to routine inquiries and routing items as appropriate.
- Assist with recruiting and onboarding activities, including candidate disposition, coordination of pre-boarding gifts, preparation of onboarding packets, supply ordering, internal communications, and coordination of new hire orientation logistics. Coordinate new employee communications including employee store credit, DDPA information, intranet tutorials, etc.
- Draft promotion and employee communication memos as requested.
- Maintain and update HR-related documents and resources on the intranet site (including anniversaries, birthdays, policies, leader resources).
- Order flower arrangements or gift baskets for employee life events such as hospitalizations, funerals, new babies, and similar occasions.
- Assist with annual job description review process, including document coordination and version control.
- Coordinate employee-focused programs and events such as flu shot clinics, employee massages, and special event discounts.
- Maintain confidentiality and exercise discretion when handling sensitive employee, financial or business information.
- Identify opportunities to improve administrative processes, communication flow, and overall efficiency.
- Perform other duties as assigned.
Requirements
Required
- High school diploma.
- 2+ years of administrative support experience, preferably in a multi-department or corporate environment.
- Proficiency with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint) and collaboration tools.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communications skills.
- High level of professionalism, discretion and attention to detail.
Preferred
- Experience in Human Resources, Finance or related areas.
- Familiarity with HRIS systems (such as Paylocity) or financial processing systems.
- Experience coordinating meetings, events, or training logistics.
- Bachelor’s degree
